Administrative Assistant – HR & Safety
Location: Andrews, Texas

Position Summary
Brave Services, Inc. is seeking a highly organized and detail-oriented Administrative Assistant to support our Human Resources and Safety departments. This position plays a key role in maintaining employee records, coordinating onboarding, tracking training and certifications, and ensuring accurate documentation to support regulatory compliance and company operations.
The ideal candidate is professional, dependable, maintains strict confidentiality, and thrives in a fast-paced environment. Construction, utility, or oil & gas industry experience is preferred but not required.
Essential Responsibilities
Human Resources

Assist with new hire onboarding and orientation.

Prepare and process employment paperwork.

Maintain confidential personnel files and HR records.
-
Track employee licenses, certifications, and required documentation.

Schedule pre-employment screenings, background checks, and drug testing.

Assist with employee benefits enrollment and HR administrative tasks.

Maintain employee training and personnel databases.
Safety
-
Enter and maintain safety training records.
-
Track certifications and notify employees and supervisors of upcoming expirations.

Assist with scheduling safety meetings, orientations, and training classes.

Maintain OSHA, DOT, client, and company compliance documentation.

Assist with incident documentation and recordkeeping.

Prepare weekly and monthly safety reports.

Support audits and compliance reviews.
Administrative
-
Answer phones and greet visitors professionally.

Prepare reports, spreadsheets, correspondence, and presentations.

Maintain organized electronic and paper filing systems.
-
Order office supplies and assist with office operations.
-
Coordinate meetings and maintain department calendars.
-
Perform other administrative duties as assigned.
Qualifications
-
High school diploma or GED required; associate degree preferred.

Minimum of two (2) years of administrative experience.

HR or safety administrative experience preferred.

Strong knowledge of Microsoft Office (Excel, Word, Outlook).

Excellent organizational and time management skills.

Strong written and verbal communication skills.

Ability to handle confidential information with professionalism.

Ability to prioritize multiple tasks while meeting deadlines.
-
Experience with electronic document management systems is a plus.
Preferred Qualifications

Experience in construction, utility, electrical, or oil & gas industries.

Experience maintaining training records and compliance documentation.
-
Familiarity with OSHA and DOT documentation requirements.

Experience with KPA/Novara or safety management software.
Physical Requirements

Ability to sit, stand, and walk for extended periods.

Ability to use standard office equipment, including computers, printers, and scanners.

Ability to travel for safety meeting purposes.

Requirements:
- Minimum of 2 years of administrative experience required.
- HR and/or safety administrative experience preferred.
- High school diploma or GED required; associate degree preferred.
- Valid driver's license with an acceptable driving record.
- Strong organizational and time management skills.

- Proficient in Microsoft Office (Excel, Word, Outlook).
