About the Role
We’re looking for an organized, self-driven events coordinator who can do more than just execute events — someone who brings structure, follow-through, and project management instincts to a marketing department that moves in a lot of directions at once. This role is hands-on and community-facing, and it plays a real part in keeping things on track behind the scenes.
You’ll work closely with our Marketing Manager and collaborate with a part-time Social Media Coordinator. We’re not looking for someone who needs to be told what to do next — we’re looking for someone who already knows.
What You’ll Do
Event Coordination
- Plan and coordinate organizational events from concept through completion, including logistics, timelines, and vendor communication
- Assist with event setup, day-of operations, and teardown
- Make thoughtful, cost-conscious decisions while executing events within established budgets
- Communicate with venues and partners to keep events running smoothly
Project Management
- Help bring structure to marketing initiatives by tracking tasks, timelines, and deliverables across multiple projects simultaneously
- Serve as an organizational resource for the marketing team — keeping projects moving, flagging what needs attention, and making sure nothing falls through the cracks
- Maintain clear communication across internal stakeholders so everyone stays aligned and informed
- Proactively identify what needs to happen next and take initiative without waiting to be directed
Volunteer, Vendor & Community Coordination
- Recruit, schedule, and coordinate volunteers for events and ongoing organizational needs
- Serve as a point of contact for vendors and external partners, managing relationships and expectations
- Build relationships with local nonprofits and charitable organizations, looking for natural ways to involve them in our events
The Brat Shed — Community Fundraising Program
- Be the friendly go-to contact for local nonprofits using The Brat Shed for their own fundraising
- Coordinate scheduling, share what they need to know, and check in to make sure their experience goes well
- Help maintain those relationships over time so groups want to come back
Event Space Coordination
- Maintain the scheduling calendar for our 200-person event space
- Serve as the primary point of contact for inquiries and bookings, keeping communication timely and organized
- Coordinate with event organizers to ensure they have what they need ahead of their event
Internal Events & Employee Experience
- Plan and coordinate internal events such as employee appreciation parties, holiday gatherings, and team meals
- Handle meal ordering and catering logistics for internal functions
- Keep internal events organized, on schedule, and enjoyable for the team
Content Capture
- Capture photos and short video content at events to hand off to our Social Media Coordinator
- Help represent the organization at community events and with local partners
Graphic Design Support
- Using templates provided by the Marketing Manager, produce event assets such as signage, coupons, and promotional materials
- Work within Adobe Creative Suite (InDesign, Illustrator, or Photoshop) to customize and prepare print-ready or digital files
- Ensure finished assets are accurate, on-brand, and ready to use without requiring significant revision
What We’re Looking For
- Ability and willingness to work Saturdays, evening hours, and off-site events
- Experience in event coordination or a related field
- Strong project management instincts — you can juggle multiple moving pieces, track what’s outstanding, and keep others informed without being asked
- A natural communicator who’s comfortable talking with vendors, volunteers, community partners, and the public
- Highly organized and dependable — you follow through on what you say you’ll do
- A self-starter who takes ownership of their work and brings initiative rather than waiting for direction
- A team player who collaborates well and communicates proactively
- Genuine enthusiasm for community involvement and local organizations
- Comfortable capturing basic photo and video content on a smartphone
- Working knowledge of graphic design software such as Adobe Creative Suite (InDesign, Illustrator, and/or Photoshop) — you don’t need to be a designer, but you should be comfortable working from templates to produce polished event materials
- Familiarity with project management tools (Monday.com or similar) is a plus but not required
- Familiarity with social media is a plus, but not required
