Position Summary
The Operations Assistant (OA) plays a vital role in supporting the Director of Operations and leadership team to ensure the smooth and efficient functioning of the agency’s daily operations. This position provides critical administrative, organizational, and operational support, including managing employee schedules, maintaining accurate client and staff records, preparing reports, coordinating communications with employees, parents, providers, and leadership, and assisting with office systems and technology. The OA also supports recruitment, training coordination, and process improvements to enhance overall operational efficiency. This role is ideal for a highly organized, detail-oriented professional who thrives in a dynamic environment and contributes to the success of the operations team.

Requirements
- Must be 18 years of age or older.
- 1 year of experience managing and working in an office environment
- Any post-offer medical inquiries or screenings will be conducted in compliance with the ADA and California FEHA and will be job-related and consistent with business necessity.
- Background checks will be conducted in compliance with the California Fair Chance Act, including individualized assessment, notice, and opportunity to respond where required.
- Possession of a valid driver’s license with driving record meeting company insurance carrier, fleet eligibility standards and proof of insurance.
- Required certifications will be provided and compensated in accordance with applicable wage and hour laws. Certification status may impact an employee’s ability to work in client homes. (i.e., CPR, PCM, Ukeru, PMO, etc.)
- Must have access to reliable transportation for consistent travel.
- Must be able to travel by car as needed for job duties.
- Regularly use electronic devices such as phones, computers, tablets, or other screens.
- Comply with company dress, hygiene, and professional presentation standards consistent with client safety and workplace professionalism.
Preferred Experience
- 1 year of experience implementing assisting with HR administrative assistant duties
- 1 year of experience managing company data systems and IT-related issues.
- 1 year of experience managing communication systems and maintaining frequent contact with multiple clients and company affiliates, simultaneously completing required job duties.
- 1 year of experience creating and submitting reports to administrative staff.
- Specific technical skills: Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace / SaaS tools; Data analysis/reporting tools (Excel, Tableau, SQL), Clinical or therapeutic techniques (e.g., ABA therapy methods), CRM / ERP software (Salesforce, SAP), Programming languages (Python, Java, etc.)Equipment operation relevant to the role,

Working Conditions / Physical Demands
This position is primarily office-based, with approximately 85% of time spent in a sedentary work environment. The role involves frequent sitting, typing, and use of standard office equipment, along with occasional standing and walking throughout the workday.
The employee may occasionally be required to lift or carry items up to 20 lbs. (such as files, office supplies, or equipment). More strenuous physical activities, such as lifting over 50 lbs., climbing, crawling, or kneeling, are not typical for this role but may occur infrequently in limited circumstances.
