Full Job Description

Summary

The Receptionist is the first point of contact and the face of Gloria Ainsworth Child Care & Learning Center. This position provides outstanding customer service while supporting the daily operations of the front office. The Receptionist must be organized, professional, adaptable, and able to multitask in a fast-paced environment. Flexibility is essential, as this position may be required to adjust work hours or shifts to provide coverage for the Senior Administrative Assistant, Part-Time Afternoon Receptionist, or other administrative staff as needed.

Reports To: Administrative Director; in the Director's absence, the Senior Administrative Assistant.
Work Schedule: Monday through Friday, 6:30 a.m. to 3:30 p.m.

Essential Functions & Responsibilities

Front Office Operations

Operate the multi-line phone system by answering calls with warmth, professionalism, and courtesy.
Accurately relay messages and transfer calls to the appropriate staff members.
Respond promptly to the needs of teachers and staff for internal calls.
Receive information from a variety of sources and communicate information accurately to the appropriate parties.
Welcome parents, children, staff, visitors, vendors, and community partners with enthusiasm and professionalism.
Build positive relationships with families, staff, and frequent visitors by learning and using names whenever possible.
Maintain Center security by following established safety procedures and controlling access through the front entrance.
Register new families, update family information, and maintain designated contacts in ProCare.
Register and update employee information in ProCare.
Demonstrate flexibility by adjusting work schedules or shifts, when needed, to provide front office coverage during planned or unplanned absences of the Senior Administrative Assistant, Part-Time Afternoon Receptionist, or other administrative personnel as directed by the Administrative Manager or Center Director.
Provide exceptional customer service while maintaining a positive and welcoming atmosphere at all times.

Office Organization

Schedule appointments and communicate appointment information to the appropriate staff member.
Prepare paperwork and documentation for meetings, enrollments, and appointments.
Create, organize, file, maintain, and archive child records.
Maintain all files and records to ensure they remain current, accurate, and easily accessible.
Enter parent communications regarding children into ProCare notes.
Maintain adequate office supplies and submit supply requests as needed.
Keep the reception area clean, organized, sanitized, stocked, and welcoming throughout the day.
Assist with general office organization and administrative projects.
Batch check-in and check-out students during morning bus runs, afternoon bus runs, and at the end of each day.
Assist with copying, scanning, faxing, laminating, and other office support duties as assigned.

Enrollment Support

Process enrollment inquiries while providing excellent customer service to prospective families.
Answer questions regarding enrollment procedures, tuition, and Center policies within the scope of the position.
Record all prospective family information on the waitlist.
Assist families with enrollment by distributing enrollment packets and explaining required documentation.
Review completed enrollment paperwork for accuracy and completeness.
Separate enrollment documents for billing, food program, immunizations, DHS, and administrative processing.
Distribute copies of child information sheets to classroom teachers, the Education Director, the Sr. Admin Assistant, and the Kitchen Supervisor.
Prepare student files and maintain all original enrollment documentation.
Mail welcome cards to newly enrolled families within one week of the child's start date.
Communicate with parents to ensure all required documentation has been received before the child's first day.

Program Support

Distribute reports, newsletters, notices, forms, and correspondence to staff as needed.
Maintain adequate supplies of enrollment forms, Parent Handbooks, agreements, applications, and other Center documents.
Assist with preparing materials for trainings, meetings, and family engagement events.
Assist with Center events and family engagement activities when requested.
Assist with closing the building each evening according to Center procedures.

Business Office Support

Provide weekly attendance sheets to the Sr. Admin Assistant and Education Director
Assist with DHS attendance and swipe card procedures.
Collect tuition payments and issue receipts as required.
Distribute annual tax statements to families.
Assist with maintaining accurate attendance and billing records.
Support administrative staff with clerical and financial office duties as assigned.

Work Schedule

Maintain dependable attendance and punctuality.
Be available to work a flexible schedule based on the operational needs of the Center.
Adjust start and end times or work additional hours when necessary to maintain adequate office coverage.
Provide coverage for the Senior Administrative Assistant, Part-Time Afternoon Receptionist, or other administrative staff during vacations, illnesses, meetings, trainings, emergencies, or other staffing shortages.
Perform additional duties as assigned by the Administrative Director

Physical Requirements

Lift, carry, push, pull, and move up to 50 pounds.
Bend, stoop, kneel, squat, reach, and climb as necessary.
Sit, stand, and walk for extended periods throughout the workday.
Operate office equipment including computers, copiers, printers, scanners, telephones, and other standard office equipment.
Utilize Center-approved cleaning products and sanitizing solutions safely.

Qualifications

High School Diploma or GED required.
Previous receptionist, customer service, administrative assistant, or office experience required.
Proficiency with Microsoft Office Suite, Google Workspace, and ProCare software.
Strong organizational, communication, customer service, and multitasking skills.
Ability to maintain confidentiality, prioritize tasks, and remain professional in a fast-paced environment.
Positive attitude with the ability to work independently and as part of a team.
Ability to adapt to changing priorities and maintain a flexible work schedule.
Successfully complete and maintain Medication Administration Training and all required Center trainings.

Confidentiality

Maintain strict confidentiality regarding children, families, employees, and Center operations.
Protect confidential records in accordance with Center policies and applicable state and federal regulations.

Pre-Employment Requirements

Successful completion of a physical examination.
Successful completion of a Criminal History Background Check.
Meet all Oklahoma Licensing requirements for childcare employees.
Complete all required orientation and onboarding requirements before beginning employment.

Application Question(s):

This position requires flexibility in scheduling. Employees must be available to work either the 5:30 a.m.–2:30 p.m. shift or the 9am–6:00 p.m. shift, including occasional split shifts, based on the operational needs of the Center and to provide coverage when needed. Those shifts are only if the other front desk positions are out.
