Position Overview:
The Treatment Coordinator serves as a key liaison between patients, providers, and the front office team, ensuring patients clearly understand their recommended treatment, insurance benefits, and financial responsibility. This role supports informed decision-making and treatment acceptance by guiding patients through their care plans with clarity, accuracy, and empathy.
The Treatment Coordinator works closely with clinical and administrative teams to coordinate scheduling, insurance verification, financial discussions, and follow-up care. Acting as a patient advocate, this role helps remove barriers to care by addressing questions, explaining options, and ensuring a seamless experience from diagnosis through completion of treatment. Strong communication, organizational, and financial skills are essential to successfully bridge clinical recommendations with patient affordability and confidence.

Key Responsibilities:
Patient Experience & Front Desk Support
Greet patients on arrival, ensure they feel welcomed, & check them in for appointments.
Answer incoming calls promptly and professionally; route calls and messages accurately.
Maintain a clean, organized, and patient-friendly reception area.
Assist patients with necessary forms, updates, and office policies.
Support the team by communicating patient needs or concerns promptly.
Communicate patient needs, concerns, or scheduling changes to the clinical and administrative team
Answer phone calls quickly and professionally.
Treatment Coordination & Financial Communication
Review and explain treatment plans, insurance benefits, and estimated patient responsibility
Ensure patients understand financial expectations prior to treatment
Accurately collect copays, deductibles, and out-of-pocket costs at time of service when applicable
Coordinate treatment scheduling to support provider productivity and patient needs
Follow up with patients on pending or unscheduled treatment
Insurance & Administrative Support
Verify dental insurance benefits prior to appointments
Accurately input insurance information, EOBs, and payments into the practice management system
Assist with insurance claim follow-up, documentation, and appeals as needed
Upload insurance cards, EOBs, and supporting documents to patient records
Support accurate patient account maintenance and insurance tracking
Scheduling, Recall & Workflow Support
Work with team to manage and own schedule appropriately
Schedule new and existing patients while optimizing provider schedules
Confirm appointments and manage reschedules or cancellations
Assist with recall and reactivation efforts for overdue patients
Monitor daily schedule flow and proactively flag gaps, delays, or opportunities
Minimum Qualifications:
High school diploma or equivalent
Previous experience in a dental or medical front office
Strong understanding of dental insurance verification and EOB interpretation
Excellent customer service and communication skills
Ability to multitask while maintaining accuracy and professionalism
Computer proficiency and comfort using practice management software
Ability to maintain patient confidentiality and comply with HIPAA
Preferred
Experience as a Treatment Coordinator in a dental office or similar front-office role
Knowledge of dental terminology and insurance workflows
Experience with Practice Management Software (Eaglesoft, Open Dental, Dentrix, etc)
Prior experience handling check-in, check-out, insurance, and financial discussions
