Full Job Description

Pisgah Roofing & Restoration is seeking a highly organized, professional, and customer-focused Lead Intake & Scheduling Coordinator to join our office team.

This position is responsible for managing all incoming customer inquiries and scheduling estimate appointments for our roofing professionals. The ideal candidate will be dependable, detail-oriented, comfortable communicating by phone and email, and capable of managing leads from multiple sources without allowing opportunities to fall through the cracks.

Primary Responsibilities

Answer incoming phone calls professionally and provide excellent customer service.
Respond promptly to customer emails, website inquiries, and online lead submissions.
Monitor all company lead dashboards, including referral platforms and other lead-generation sources.
Contact new prospects quickly to gather project information and schedule estimate appointments.
Coordinate estimator calendars and assign appointments based on location, availability, and project type.
Confirm appointments with homeowners and provide any necessary preparation instructions.
Follow up with prospects who have not responded or scheduled an appointment.
Enter and maintain accurate customer information, appointment details, and notes within the company’s CRM and scheduling systems.
Notify management and estimators of urgent requests, active leaks, commercial opportunities, or unusual project circumstances.
Maintain clear communication between customers, estimators, and office personnel.
Track incoming leads to ensure every opportunity receives timely follow-up.
Assist with general office and administrative duties as needed.

Qualifications

Previous experience in scheduling, customer service, office administration, call handling, or lead coordination is preferred.
Strong verbal and written communication skills.
Professional and friendly phone presence.
Excellent organization, time-management, and follow-up skills.
Ability to manage multiple phone calls, emails, dashboards, and appointments simultaneously.
Comfortable learning and using CRM systems, online lead platforms, email, calendars, and basic office software.
Ability to remain calm, professional, and solution-focused when assisting customers.
Dependable attendance and the ability to work independently.
Roofing, construction, home-services, or insurance-restoration experience is helpful but not required.

We are looking for someone who understands that every incoming call or inquiry is a potential customer. The right person will take ownership of the lead process, communicate professionally, follow up consistently, and ensure our estimating team has accurate and well-organized appointments.

This is an important front-line position within our company. Your professionalism, urgency, and attention to detail will directly affect the customer experience and the success of our sales team.
