Job Overview

We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks to ensure a smooth and efficient workplace environment. Your positive attitude, organizational skills, and technical proficiency will help create a professional and friendly atmosphere for clients, visitors, and team members alike. Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression at all times
Answer multi-line phone systems promptly and professionally, directing calls efficiently
Manage appointment scheduling, calendar coordination, and meeting room bookings using productivity software
Handle data entry tasks with accuracy using spreadsheets, Word processing, and Google Workspace tools
Maintain organized filing systems, including digital document management and physical records
Support office management duties such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
Provide customer support by addressing inquiries via phone or email with excellent phone etiquette and clear communication
Assist with clerical tasks such as proofreading documents, updating client information, and managing client communication records

Experience

Prior office experience or administrative support roles demonstrating strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel) and familiarity with productivity software like Google Workspace
Experience with multi-line phone systems and professional phone communication techniques
Bilingual abilities are highly desirable to serve diverse client needs effectively
Knowledge of office management procedures including filing, data entry, and calendar management
Technical proficiency with computer literacy skills such as typing speed, proofreading, and document formatting
Experience in customer service roles or as a receptionist in medical or dental settings is advantageous
Demonstrated ability to multitask efficiently while maintaining attention to detail in fast-paced environments
