This is a shared position between Economic and Employment Services (EES) and Operations (85% EES/15% Operations). The position provides administrative and clerical support to operations by assisting in mailing, shipping and receiving as well as maintaining car logs for operations. This position also provides multiple department support by assisting EES staff in the coordination of services to facilitate an efficient workflow for the Business Process Management (BPM) process. Registers applications, reviews, interim report forms and loose mail by accessing the agency automated systems. Analyzes application and system information to resolve problems and avoid duplication. This position also performs the office switchboard and lobby receptionist duties.

Qualifications
Minimum Qualifications: *If a driver’s license is required, a copy must be sent to your recruiter following the interview.* Must maintain Driver License throughout employment.
One year of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

Security Clearance: A background check (KBI - criminal background, welfare fraud, driver's license and Child/Adult Abuse and Neglect Central Registry) is required for all positions with the Department for Children and Families (DCF) as a condition of employment, which may include fingerprinting and FBI check. Security clearance must be obtained prior to employment with DCF. Must maintain security clearance throughout employment.
Kansas Tax Clearance Certificate: A valid Kansas Tax Clearance Certificate is a condition of employment for all employees of the State of Kansas. Applicants (including non-residents) who receive a formal job offer for a State job, are required to obtain a valid Tax Clearance within ten (10) days of the job offer. A Tax Clearance can be obtained through the Kansas Department of Revenue who reviews individual accounts for compliance with Kansas Tax Law.

Program Support
Provides support for multiple programs by assisting professional staff in the coordination of services in order to facilitate an efficient workflow for the BPRprocess. Registers applications, by accessing the agency automated systems, analyzing application and system information to resolve problems and avoid duplication. Identifies services requested and enters appropriate information into the automated system for initial case establishment and to document customer contact and information. Manages the periodic review process through identification and generation of appropriate review forms based on the services received and registering reviews. Accesses non-DCF automated systems to gather information as requested by case managers.
Customer Service
Provides a high level of service to customers to assist in achievement of the agency mission and goals.To do this, the employee must be familiar with agency programs and guidelines; be able to communicate effectively and positively with customers and ensure the needs of the customer are met by directing them appropriately to services. Staff should be familiar withand able to assist customers in the useof the language line and special communication equipment (TDD)or other reasonable accommodation where appropriate. MAIL PROCESSING – Receives mail throughout the day from various sourcesincluding US PostOffice, UPS, Fed Ex, and DCF Drop Boxes. Opens, if necessary, processes, date stamps, sorts and distributes to appropriate Supervisor’s mailbox. For unlabeled mail, opens and identifies appropriate program caseload manager via computer system research.
Maintains customer confidentiality andfollows HIPPA procedures. Prepares daily outgoing mail timely, usingUnited
States Post Office guidelines. Prepares envelopes formail to be shipped by UPS, completing daily detail report.Prepares
certified and overnight expressmail per regional policy, routing returned receipts as requested by staff. Takesreading of
postage meter weekly.Loads postage meteras needed andnotifies appropriate BMSstaff of transaction.
RECEIPTING – Receipts all monies cominginto the office(mailed or in person) on a timelybasis by completing form
