Full Job Description

PURPOSE OF CLASSIFICATION

The purpose of this classification is to provide administrative and other support functions to the
Emergency Management Department and Fire Rescue Services. This position reports to the Fire
Chief.

ESSENTIAL FUNCTIONS

The following duties are normal for this position. These are not to be construed as exclusive or all
inclusive. Other duties may be required and assigned.

Greets and assists public; provides general information to public; responds to general inquiries from
visitors and routes them to the appropriate area; provides specific information regarding department;
receives requests and complaints; dispenses forms. Answers telephone calls, takes and delivers
messages; responds to inquiries, complaints and problems; provides routine information to resolve
problems or forwards to appropriate staff.

Performs general clerical functions in support of the department; may open office or building; receives,
sorts, and distributes incoming mail; takes and transcribes dictation; answers telephones; prepares and/or
processes forms, reports, logs and related materials; files, copies, distributes, posts, mails and transmits
documents.

Schedules appointments; maintains appointment calendars; coordinates meetings and conferences.

Organizes and maintains files; compiles statistical, accounting, and budgetary data. Maintains official
records, lists, databases, directories and logbooks used in County services and operations.

Establishes, updates and maintains various computer files, databases and spreadsheets; generates and
prints reports.

Enters personnel paperwork into Laserfiche periodically.

Learns P-Card reconciliation process.

Prepares, proofreads, types and files correspondence, monthly reports, press releases, bid specifications,
spreadsheets, and other documents.

Organizes and maintains files, researches records and reports and files, compiles statistical, accounting,
and budgetary data, calculates financial data. Coordinates meetings and conferences, makes travel
arrangements. Prepares monthly reports, budget documents, spreadsheets, purchase orders, inventories,
expense statements, time sheets, mutual aid documents, and other documents as needed. Notarize and
witness forms and documents as requested.

Participates in workplace safety meetings and seminars; maintains personnel and training files.

Maintains inventory of equipment, parts, and supplies; places work orders; reorders and stocks supplies
and materials as needed; prepares purchase orders, vouchers, and check requisitions; conducts annual
inventory; maintains accounting records.

Types correspondence, reports, budgets, schedules, tables, and other documents using PC word
processing, Excel, and spreadsheet applications.

Gathers departmental information, data and statistics for compilation of various forms and reports;
copies final reports; submits reports to appropriate agencies; copies and files reports.

Prepares notices, forms letters, lists, and other documents; prints and mails documents.

Searches for and retrieves records and documents from records storage area.

Refers to county policies and procedures, county ordinances, maps, code books, manuals, financial
records, budgets, administrative records, and other documents and materials in performing assigned job
duties.

Operates standard office equipment such as copier, facsimile, telephone, calculator and others.

Distributes and receives paperwork to and from Fire Stations as directed.

Maintains public relations events schedule and solicits volunteer personnel to participate in the PR
events; assists with Fire Prevention classes.

In conjunction with Fire Chief and EMA Director, works with various agencies such as news media,
schools, civic groups and other organizations to handle seasonal hazards such as ice and snow storms,
tornadoes and severe heat. Participates in weather webinars to obtain information to advise county staff,
school officials and others as needed. Uses social media to share pertinent information to the public.

Answers and routes telephone calls for EMA, Fire Rescue, and Fire Marshal.

Establish access to e-Diepatch mobile application on behalf of volunteer personnel and assist with gaining
proficiency with its use.

Collects and enters financial data for BS&A software.

Collects and enters PCR and fire reports in Image Trend website. Encourage volunteers to directly enter
reports.

Submits fire rescue work orders for Facilities, IT, Road Department, and Fleet departments.

Prepares monthly training calendar and assists with quarterly Fire Rescue Minute videos.

Enters weekly fire training reports and prepares monthly training statements.

Reconciles bank statements for fire stations and office administrative checking accounts. Prepares
financial checking account statements for the Finance Department.

Assists with annual Appreciation Dinner with a variety of tasks.

Issues ID badges to members.

Prepares grant forms and paperwork for Federal and State assistance as directed.

Assists with operations of volunteer Emergency Medical Responders (EMR) and Firefighters. Assists
with volunteer personnel concerns and problems. Assists with orders from medical supply inventory and
dispenses to EMRs. Assists with orders from fire supply inventory and dispenses to Firefighters.
Schedules maintenance of fire and rescue trucks and other equipment as necessary.

Attends workshops and training programs to maintain and update professional certifications.

May respond occasionally as needed due to special events, disasters, and other purposes after hours as
needed by the county.

Adheres to all County Safety Policies and Procedures.

ADDITIONAL FUNCTIONS

Performs other related duties as required.

MINIMUM QUALIFICATIONS

Experience with clerical, secretarial, or business skills; supplemented by one (l) to two (2) years previous
experience and/or training involving secretarial or business work, and use of word processing software
applications; or any equivalent combination of education, training, and experience which provides the
requisite knowledge, skills, and abilities for this job. Must possess and maintain a valid Georgia driver's
license. NPQ Firefighter 1 & EMS certifications are acceptable for review. Notary Public is preferred.

supervisory capacity.

Equipment, Machinery, Tools, and Materials Utilization: Requires the ability to operate, maneuver and/or
control the actions of equipment, machinery, tools, and/or materials used in performing essential functions.
Verbal Aptitude: Requires the ability to utilize a wide variety of reference, descriptive, and/or advisory data
and information.

Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division;
the ability to calculate decimals and percentages; the ability to utilize principles of fractions; and the ability
to interpret graphs.

Functional Reasoning: Requires the ability to carry out instructions furnished in written, oral, or
diagrammatic form. Involves semi-routine standardized work with some latitude for independent judgment
concerning choices of action.

Situational Reasoning: Requires the ability to exercise judgment, decisiveness and creativity in situations
involving a variety of generally pre-defined duties which are often characterized by frequent change.

ADA COMPLIANCE

Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which
may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10
pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements: Some tasks require the ability to perceive and discriminate colors or shades of
colors, sounds, depth, and visual cues or signals. Some tasks require the ability to communicate orally.

Environmental Factors: Essential functions are regularly performed without exposure to adverse
environmental conditions.
