Full Job Description

Purpose of Classification: The purpose of this classification is to process documentation related to inmate booking, criminal orders, civil orders, apprehension orders and related functions and to enter information into department databases.

Essential Functions: The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Receives, reviews, prepares and/or processes department documents such as inmate booking information, warrants, civil papers, temporary protection orders, inmate requests, or other department documentation; verifies, completes and/or codes required information; enters and updates information into department databases; creates new spreadsheets/files; and purges old data as appropriate; makes copies and distributes as appropriate; and maintains copies in department manual files.

Operates NCIC and GCIC computer systems to identify, retrieve, and/or update criminal information; obtains, validates and provides warrant, criminal history or other information as requested; and initiates/retrieves computerized messages to/from national and state agencies.

Performs customer service functions; answers telephones; provides assistance, requested documents and information regarding criminal histories, warrant processing, procedures, fees, etc.; takes and relays messages and/or directs calls to appropriate personnel; and returns calls as necessary.

Processes payments for citations, cash bonds, and other processing fees; accepts payments and records receipt of same; balances cash drawer; prepares deposit; reconciles and balances general ledger; and forwards reports and monies as appropriate.

Performs general clerical tasks; copies and distributes correspondence, memoranda, reports and other related materials; receives, opens and distributes incoming mail; and prepares outgoing mail, etc.

Ensures all activities are in compliance with all applicable codes, laws, rules, regulations, standards, policies and procedures; ensures adherence to established safety procedures; monitors work environment and use of safety equipment to ensure safety of employees and other individuals; and initiates any actions necessary to correct deviations or violations.

Minimum Qualifications: High school diploma or GED required; two years of experience in customer service, clerical, administrative or related field; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. Certificate or degree in Law Enforcement or related field preferred.
Strong analytical and problem-solving skills. Excellent communication and interpersonal abilities. Ability to work effectively under pressure and in fast-paced environments.
