Full Job Description

Overview
We are seeking an energetic and highly organized front desk associate. 8am-5pm. You will be the welcoming face of our office. In this vital role, you will manage front desk operations, provide exceptional customer service, and support daily administrative tasks with enthusiasm and professionalism. Your positive attitude and attention to detail will help create a smooth, efficient environment for clients, visitors, and team members alike. This position offers an excellent opportunity to develop your office management skills while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
Maintain organized filing systems, data entry records, and ensure all documentation is accurate through proofreading and meticulous attention to detail
Support appointment scheduling and calendar management using Google Workspace or Microsoft Office tools
Assist with basic bookkeeping tasks using QuickBooks or similar accounting software when needed
Perform general office management duties such as ordering supplies, maintaining cleanliness, and supporting administrative projects

Requirements

Proven experience in office administration, clerical work, or as a receptionist in a fast-paced environment
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Exceptional customer service skills with a friendly demeanor and professional phone etiquette
Bilingual abilities are highly desirable to serve diverse clientele effectively
Previous experience with multi-line phone systems, data entry, filing, proofing documents, and calendar management is preferred
Knowledge of medical or dental receptionist duties as well as personal assistant experience is a plus but not required
Ability to handle confidential information discreetly while maintaining accuracy in record-keeping and bookkeeping tasks
