Overview

We are seeking a dynamic and highly organized Administration Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to our staff and clients. Responsibilities

Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
Handle multi-line phone systems efficiently, ensuring all calls are answered promptly and routed correctly.
Perform data entry tasks accurately using Microsoft Office applications and QuickBooks accounting software.
Maintain organized filing systems, both physical and digital, to ensure quick retrieval of documents.
Support office management activities, including calendar management, scheduling meetings, and coordinating appointments.
Assist with bookkeeping duties such as invoicing, expense tracking, and reconciling accounts in QuickBooks.
Provide excellent customer service by responding to client inquiries via phone or email, ensuring confidentiality at all times.

Requirements

Proven office experience with strong clerical skills and familiarity with office management procedures.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and computer literacy is essential.
Experience with QuickBooks or similar accounting software is highly desirable.
Bilingual abilities are a plus, enabling effective communication with diverse clients and team members.
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Strong interpersonal skills with a professional demeanor and excellent phone communication skills.
Ability to handle confidential information discreetly while maintaining high levels of accuracy in data entry and record keeping.
Previous experience as a personal assistant or in administrative support roles is advantageous.
