Receptionist – Real Estate & Litigation Law Firm (Full-Time)

A high-volume real estate closing law firm is seeking a full-time Receptionist to serve as the first point of contact for clients, agents, lenders, and visitors. This role is critical to the overall client experience and requires a consistently professional presence, strong organizational skills, and the ability to perform reliably in a fast-paced environment.

The ideal candidate understands that this position sets the tone for the firm. Professional appearance, punctuality, and dependable attendance are essential requirements of this role.

We are a client-focused law firm handling a high volume of real estate closings with precision and efficiency. We also handle a wide range of litigation cases, probate, bankruptcy, personal injury and corporate deals. Our team values professionalism, accountability, and collaboration. Each role within the firm contributes directly to delivering a seamless and positive experience for our clients and partners.

Position Overview

The Receptionist is responsible for managing front office operations while ensuring that every client interaction reflects the firm’s commitment to professionalism, efficiency, and service. This role requires someone who is highly organized, attentive to detail, and able to manage multiple responsibilities with composure and consistency.

Key Responsibilities

Answer and direct calls (50 plus a day) using a multi-line phone system in a prompt, courteous, and professional manner
Greet clients, agents, and visitors with a polished and welcoming demeanor
Maintain a clean, organized, and professional reception area at all times
Coordinate with staff to ensure smooth client flow throughout the day
Prepare conference rooms and refreshments for scheduled meetings
Sort and distribute incoming mail, packages, and deliveries
Monitor and maintain office and kitchen supplies
Provide administrative support - copying, scanning, filing, scheduling, data entry for closings
Run firm-related errands, including bank deposits and taking mail on occasion if the runner is not available
Maintain strict confidentiality and adhere to firm policies and procedures

Professional Expectations

Punctuality: Must be consistently on time and prepared to begin work at the scheduled start time
Attendance: Reliable, consistent attendance is required due to the front-facing nature of this role
Appearance: Maintain a polished, professional appearance appropriate for a client-facing legal environment
Demeanor: Exhibit professionalism, courtesy, and a positive attitude and demeanor in all interactions

Qualifications

Prior experience in a law firm, real estate closing office, or professional office preferred
Strong customer service and communication skills
Excellent organizational skills and attention to detail
Ability to multitask and remain composed in a fast-paced, deadline-driven environment
Dependable, proactive, and team-oriented
Proficiency in Microsoft Office and general computer systems
Valid driver’s license, reliable transportation, and clean background required
Notary Public certification is a plus (or willingness to obtain after hire)
