Jeffco Public Schools (Jeffco) is located in Jefferson County, Colorado. It is the second largest school district in Colorado serving 69,000 students across 155 schools. ABOUT THE SCHOOL/DEPARTMENT

The Jeffco Public Schools Communication Services Department believes in the pride and purpose of Jeffco Public Schools and is committed to being a reliable voice for the community and beyond. As such, we provide many different services for schools, the district, and the broader community: branding/graphics, district website management, local/national media relations, social media channels, video production, crisis communications, community relations & outreach, athletics/activities promotion, and raising awareness of events, educational opportunities, and support services. Utilizing our website, online and print publications, social media, and outreach, we work to publicize the important work taking place in Jeffco Public School as it serves the Jeffco Generations Vision. PRE-EMPLOYMENT REQUIREMENT

The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $57.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.

RESPONSIBILITIES

SUMMARY Provide administrative and operational support to the Communications Executive Director and Communications Department by handling daily office operations, including coordinating purchasing activities, financial documentation, travel arrangements, and records management. Support departmental projects and communications workflows while serving as a point of contact for schools, departments, and community/professional organizations. Ensure the effective and efficient operation of the Communications Department that enables staff to meet departmental and district objectives.

ESSENTIAL DUTIES AND RESPONSIBILITIES

ESSENTIAL DUTIES AND RESPONSIBILITIES

Provide administrative support to the Communications Executive Director, including management of financial and business expenses, calendar coordination, and scheduling.

Coordinate departmental meetings by scheduling events, preparing agendas, recording meeting minutes, tracking follow-up actions, and providing administrative and technical support.

Provide administrative support for departmental projects and initiatives by communicating deadlines and project updates and maintaining department calendars, shared files, distribution lists, and contact databases.

Answer and direct telephone calls and communicate effectively with families, district employees, external agencies, vendors, and members of the public.

Monitor and route incoming communications requests, ensuring timely follow-up and assignment to appropriate team members.

Coordinate departmental purchasing activities, including invoices, purchase orders, and vendor relationships, in accordance with district financial procedures.

Compile monthly departmental analytical data and populate the monthly Communication Services Impact Dashboard.

Assist with composing, formatting, and editing departmental and district correspondence, ensuring professional, accurate, and grammatically correct documents for distribution.

Track and prepare materials for Jeffco Help Merchandise Order tickets.

Review, reconcile, and submit monthly documentation for all procurement card (P-card) activity for the communications department.

Coordinate and manage departmental registration and travel for conferences and events, including transportation and lodging logistics.

Maintains office operations, ensuring adequate supplies and materials, and supporting a safe, secure, and productive work environment.

Maintain departmental files, records, and archived documents, including processing and distributing mail in accordance with district processes and procedures.

Perform other duties as assigned.

REQUIREMENTS EXPERIENCE
Requires 3 years of experience as a secretary, receptionist, or similar clerical role

EDUCATION AND TRAINING
High School degree required. Additional college coursework equivalent to an Associate's Degree or higher preferred.

KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of administrative support practices, office management procedures, district financial processes, purchasing and procurement activities, records retention requirements, and confidentiality standards. Skill in coordinating calendars, meetings, travel arrangements, purchasing activities, and vendor communications Skill in preparing correspondence, reports, agendas, meeting minutes, and presentation materials. Ability to organize and prioritize multiple assignments, monitor and track requests and project deadlines, maintain accurate records, and manage departmental operational and administrative functions with attention to detail. Ability to communicate effectively and professionally with families, district employees, vendors, external agencies, and members of the public while providing high-quality customer service. Ability to analyze and compile data and reports, exercise sound judgment, maintain confidentiality of sensitive information, and work independently while supporting departmental goals and initiatives.
