Job Summary
We are seeking a motivated and organized part-time secretarial assistant to join our dynamic team! This role offers an excellent opportunity for individuals looking to contribute to office operations while developing valuable administrative skills. The ideal candidate will be energetic, detail-oriented, and possess strong communication abilities. You will support daily administrative tasks, manage front desk responsibilities, and ensure smooth office functioning. This position is perfect for someone eager to grow in a professional environment while balancing other commitments.

Responsibilities

Greet visitors and manage front desk operations with professionalism and warmth
Answer multi-line phone systems promptly and courteously, directing calls efficiently
Perform data entry and maintain accurate filing systems, both physical and digital
Assist with bookkeeping tasks using QuickBooks and other accounting software
Manage calendar schedules, appointments, and coordinate meetings using Google Workspace and Microsoft Office tools
Support office management activities including supply inventory, document proofreading, and organization of files
Provide excellent customer service by addressing inquiries and supporting client needs with friendly phone etiquette and support skills

Experience

Previous clerical or administrative experience in an office setting is preferred
Familiarity with office management software such as Microsoft Office, Google Workspace, and QuickBooks
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent typing speed and computer literacy to handle data entry, proofreading, and document preparation
Bilingual abilities are a plus to assist diverse client interactions
Experience with front desk duties, phone etiquette, and customer support enhances suitability for this role
Demonstrated time management skills with the ability to prioritize tasks effectively
