Job Summary

Lighthouse Guardianship Services, Inc. provides guardianship services and support to vulnerable adults ages 18-end of life, and is seeking a proactive and organized Administrative Assistant to join our growing company. In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where productivity thrives. This paid position offers an exciting opportunity for someone with strong organizational skills, excellent communication abilities, and a passion for delivering top-notch administrative support.

Responsibilities

Perform data entry and maintain accurate records using spreadsheets, word processing, and productivity software such as Microsoft Word and Excel spreadsheets.
Handle front desk duties including greeting visitors, managing appointments, and ensuring a positive first impression.
Oversee office management tasks such as filing, organizing supplies, and maintaining a tidy workspace to promote productivity.
Assist with client communication and customer service efforts by providing timely support via phone or email.
Support bookkeeping activities, expense tracking, and financial record keeping.
Proofread documents for accuracy and clarity while supporting general clerical tasks like copying, scanning, and mailing.
Process all incoming and outgoing mail and faxes.
Assist in the creation of all agency forms and literature, documents, and packets and prepare for distribution.
Draft memos, emails, reports and other documents as needed.
Maintain office supplies, place orders for supplies, monitor inventory.
Maintain current contact lists and email distribution groups.
Run errands as needed which may include but is not limited to dropping of outgoing mail, shipping packages, purchasing supplies, and picking up needed items.

Skills

Proven experience with office management, clerical work, or administrative roles in fast-paced environments.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry.
Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
Bilingual capabilities are highly desirable (but not mandatory) to enhance client communication and team collaboration.
Technical proficiency in office equipment such as phone systems, printers, scanners, and basic troubleshooting.
Exceptional phone communication skills coupled with professional phone etiquette to handle inquiries confidently.
Experience with customer support or front desk responsibilities that demonstrate friendliness, patience, and professionalism.
