Job Overview
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily operations. Your enthusiasm and organizational skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team.

Duties

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Answer multi-line phone systems efficiently, directing calls accurately and professionally
Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
Handle data entry tasks with precision, including filing, record keeping, and updating client information in various systems such as QuickBooks and Microsoft Office
Maintain a tidy and organized front desk area, ensuring all office supplies are stocked and accessible
Support administrative tasks such as proofreading documents, managing correspondence, and assisting with bookkeeping activities
Provide excellent customer support by addressing inquiries via phone or in person with professionalism and courtesy
Assist with clerical duties including filing, document management, and supporting office management initiatives

Qualifications

Proven experience in office administration or reception roles, preferably with front desk or medical/dental receptionist background
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
Familiarity with multi-line phone systems and excellent phone etiquette skills
Bilingual abilities are highly desirable to serve diverse client needs effectively
Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Experience with data entry, proofreading, filing, and clerical support is essential
Knowledge of QuickBooks or bookkeeping experience is a plus
Excellent customer service skills with a friendly attitude and professional demeanor
Ability to manage time effectively while multitasking across various administrative responsibilities
Personal assistant or medical receptionist experience is advantageous but not required
