Office Manager – Greater Gallatin Contractors, Inc.

About the Role

This is an operations-heavy Office Manager position within a fast-paced seasonal contracting environment. You will be the administrative right hand to the owner and the communication hub between clients, project managers and technicians. The ideal candidate thrives on accuracy (details matter), initiative, and keeping many moving parts aligned.

This role blends Operations + Coordination + Bookkeeping + Office Administration. It’s not a passive position — we’re looking for someone who takes ownership, leads with clarity, and will grow with the business.

Key Responsibilities

Financial & Administrative

Process accounts payable and receivable
Complete daily invoicing
Manage project setup, cost codes, and system entry
Maintain accurate document management and recordkeeping

Communication & Coordination

Serve as a cross departmental communication link
Manage and route incoming calls, mail, and internal/external requests, including business leads and information quickly, clearly, and professionally
Coordinate scheduling and support project managers with operational needs

Office Leadership & Workflow Management

Prioritize business tasks, deadlines, and administrative initiatives
Organize systems, workflows, and office processes
Contribute to a positive and productive culture, keeping team top of mind
Grow skills and responsibilities in tandem with company needs

Qualifications

Bachelor’s degree in Business Administration, Accounting, or related field; equivalent experience considered
3+ years experience in landscaping, construction, contracting, or similar industry strongly preferred, local industry knowledge desired
Dispatch or scheduling experience beneficial
3+ years of Intuit QuickBooks Online experience required
Proficiency in Microsoft Office and Google Workspace
Curiosity and willingness to learn AI tools and automation
Reliable, dependable, upbeat, and outgoing personality
Strong employment references required.
