Full Job Description

Emerald Motors is a fast-growing automotive dealership focused on high-volume operations, strong systems, and team-driven execution. We are looking for an experienced Office Manager who can bring structure, accountability, and efficiency to our daily operations.

This is not a basic admin role — we need someone who can own the office, build processes, and keep the entire operation running smoothly.

Key Responsibilities

Oversee and manage all daily office operations
Build, implement, and maintain standard operating procedures (SOPs)
Ensure organization and accountability across:
Titles & paperwork
Deal files
Inventory documentation
Manage accounts payable & receivable, including:
Invoicing
Payments
Reconciliation support
Coordinate with sales, service, and management to ensure smooth deal flow
Maintain accurate records in systems (DMS, accounting software, CRM)
Support payroll processing and track staff hours
Handle incoming/outgoing communication and administrative workflows
Manage office supplies, vendor relationships, and internal systems
Assist with hiring, onboarding, and basic HR coordination
Identify inefficiencies and continuously improve processes

What We’re Looking For

Proven experience as an Office Manager (automotive dealership experience is a big plus)
Strong understanding of:
Dealership paperwork
Titles & licensing processes (USA/Canada experience is a bonus)
Experience with accounting systems (QuickBooks, Xero, or similar)
Highly organized with the ability to manage multiple moving parts at once
Strong attention to detail — nothing slips through the cracks
Ability to build structure in a fast-paced, high-volume environment
Confident communicator who can work across all departments
Self-starter who takes ownership and solves problems without being asked
