Full Job Description

The Boys & Girls Club of Rockford is seeking a highly organized, dependable, and welcoming Administrative Coordinator to support the daily operations of our organization.

This position serves as a key administrative resource for our leadership team while also coordinating our federally funded child nutrition programs. The Administrative Coordinator will answer incoming calls, assist families and community members, maintain records and deadlines, provide administrative support, and oversee the day-to-day paperwork and coordination required for our food programs.

This is a great opportunity for someone who enjoys organization, takes ownership of their work, pays close attention to details, and wants their work to directly support children and families in the Rockford community.

Essential ResponsibilitiesAdministrative Support

Serve as a professional and welcoming first point of contact by answering incoming phone calls and assisting families, staff, community members, and partners.
Direct calls and inquiries to the appropriate staff member or department.
Provide administrative support to the CEO, Director of Operations, and Senior Director of Development.
Assist with scheduling, correspondence, meeting preparation, ordering, mailings, and other administrative needs.
Maintain organized electronic and paper files, records, spreadsheets, trackers, and documentation.
Monitor recurring deadlines and follow up on outstanding information as needed.
Assist with organization-wide projects, events, trainings, and meetings.
Handle confidential and sensitive information with discretion.

Food Program Coordination

Coordinate the day-to-day administration of the Boys & Girls Club of Rockford's federally funded meal programs.
Manage meal ordering and communicate with food vendors and Club locations.
Maintain accurate meal counts, delivery records, attendance documentation, and required program paperwork.
Prepare and submit required reimbursement claims and reports.
Monitor program documentation for accuracy, completeness, and compliance with established requirements.
Conduct routine visits to Club locations to review meal service procedures and required documentation.
Train and support Club staff on meal program procedures, meal counts, food safety, Civil Rights requirements, and documentation expectations.
Maintain required food program records and ensure deadlines are met.
Assist with preparation for monitoring visits, reviews, and audits.
Communicate changes in meal counts, delivery needs, schedules, or procedures to appropriate staff and vendors.

Qualifications

High school diploma or equivalent required.
Associate degree preferred but not required.
Previous administrative, office support, program coordination, or similar experience preferred.
Experience maintaining detailed records, documentation, and deadlines strongly preferred.
Experience with food programs, school nutrition, CACFP, SFSP, or other USDA-funded programs is a plus, but not required. Training will be provided.
Experience working in a nonprofit, school, child care, youth development, or community-based organization is a plus.
Proficiency with Microsoft Office, Google Workspace, spreadsheets, email, and web-based systems.

Position Requirements

Reliable transportation and a valid driver's license.
Ability and willingness to travel between Boys & Girls Club of Rockford locations as needed.
Successful completion of required background checks and employment screenings.
Completion of required food program, Civil Rights, and food safety training following hire.
Ability to maintain confidential organizational, employee, family, and program information.
Occasional schedule flexibility may be required for meetings, trainings, or special events.

Schedule

Monday through Friday, 10:00 AM–4:00 PM
30 hours per week
