Full Job Description

Marcum and Sons LLC is a growing heavy civil construction company specializing in excavation, grading, underground utilities, site development, airport improvements, and public works projects throughout the State of Oregon. We are seeking a highly organized, relaible, detail-oriented Part-Time Admin Assistant to assist with administrative operations and support our office manager.

Position Summary

The Part-Time Admin Assistant (2-3 days a week) will be responsible for supporting administrative functions as needed to inlude accounting and payroll processes, project documentation, maintaining compliance records, subcontractors, clients, and vendors.

Additional Assistance would include

Assist project managers with project startup and closeout documentation.
Help track contracts, subcontracts, change orders, certified payroll reports, and project compliance requirements.
Maintain project filing systems and construction records.
Coordinate document submissions to owners, engineers, and subcontractors.
Assist with AP/AR
Prepare and submit invoices and owner billings.
Review vendor invoices and subcontractor payment applications.
Employee onboarding and offboarding.
Track training requirements, certifications, and safety records.

Required

2+ years of office admin experience, any construction experience including knowledge of certified payroll, prevailing wage regulations, and public contracting is a plus.
Knowledge of Quickbooks, Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
Excellent organizational, communication, and time management skills.
Ability to manage multiple priorities and deadlines.
Experience maintaining confidential information with professionalism.
