About Stroke Awareness Oregon

Stroke Awareness Oregon (SAO) is a nonprofit organization dedicated to reducing stroke-related death and disability by educating Oregonians about stroke recognition, risk reduction, and rapid response. SAO accomplishes its mission through community presentations, healthcare trainings, public events, and the power of passionate volunteers across the area.

Position Overview

The Volunteer Coordinator is a part-time, hourly position responsible for building and sustaining SAO’s volunteer program. This role recruits, trains, schedules, and supports volunteers who deliver stroke awareness presentations, staff community events, distribute materials, and carry out a variety of operational tasks in support of SAO’s mission. The Volunteer Coordinator serves as the primary point of contact for volunteers and plays a critical role in expanding SAO’s community reach.

Key Responsibilities

Volunteer Recruitment

Develop and implement strategies to recruit volunteers from diverse community networks, including healthcare, faith, corporate, academic, and civic sectors
Post volunteer opportunities on appropriate platforms (ConnectCentralOR, Idealist, SAO’s website and social media, etc.)
Represent SAO at volunteer fairs, community events, and partner organization meetings to cultivate interest
Build a strong pipeline of trained volunteers to meet ongoing and seasonal program demand
Respond promptly to volunteer inquiries and guide prospective volunteers through the onboarding process

Volunteer Training & Onboarding

Coordinate and facilitate orientation sessions for all new volunteers
Train volunteers to deliver SAO’s stroke awareness presentations and educational materials with accuracy and confidence
Maintain and update training materials, presenter guides, and educational resources in collaboration with the Executive Director
Ensure all active volunteers are current on SAO messaging, HIPAA and confidentiality expectations, and organizational policies
Track training completion records and maintain volunteer files

Scheduling – Presentations & Trainings

Coordinate and schedule community stroke awareness presentations and healthcare trainings across the tri-county area
Match volunteer presenters with assignments based on geography, availability, skill, and audience
Confirm logistics with hosting sites and volunteers in advance of each engagement
Maintain an accurate, up-to-date master calendar of all volunteer activities and presentations
Follow up after presentations to collect feedback, track outcomes, and support continuous improvement

Event Volunteer Coordination

Recruit, confirm, and schedule volunteers for SAO events including health fairs, fundraising events, awareness campaigns, and tabling opportunities
Develop event-specific volunteer roles, shift structures, and briefing materials
Serve as the point of contact for event volunteers before, during, and after each event
Ensure adequate volunteer coverage and a positive volunteer experience at all events

Materials Delivery & Logistics Support

Coordinate the delivery of stroke awareness materials, signage, and supplies to presentations, trainings, and events
Maintain and track SAO’s inventory of educational materials and presentation supplies
Arrange logistics for material pick-up, drop-off, and/or mailing as needed
Assist with physical delivery of materials within the local area when required

Volunteer Relations & Retention

Foster a welcoming, mission-centered volunteer culture that promotes engagement and long-term retention
Recognize and celebrate volunteer contributions through thank-you communications, recognition events, and other appreciation efforts
Maintain regular communication with active volunteers through newsletters, updates, and direct outreach
Solicit volunteer feedback and bring forward suggestions to improve the program
Address volunteer concerns or conflicts promptly and professionally

Data Management & Reporting

Maintain accurate records in SAO’s volunteer management system, including contact information, hours, training status, and assignment history
Track and report volunteer metrics including hours served, presentations delivered, and events staffed
Provide regular updates and reports to the Executive Director on volunteer program activity and outcomes

General Operational Support

Assist with other volunteer-related activities and organizational tasks as assigned by the Executive Director
Represent SAO professionally in all community and volunteer interactions
Support SAO’s mission and values in all aspects of the role

Qualifications

Required

Minimum two (2) years of experience in volunteer coordination, community outreach, program coordination, or a related field
Demonstrated ability to recruit, engage, and retain volunteers or community participants
Excellent interpersonal and written communication skills
Strong organizational skills with the ability to manage multiple schedules, priorities, and deadlines simultaneously
Proficiency with Google Workspace (Docs, Sheets, Calendar, Gmail) and/or Microsoft Office
Reliable transportation, valid Driver’s License and insurance and ability to travel locally for material delivery and community events
Ability to pass a background check
Self-directed and able to work independently in a small nonprofit environment
Commitment to SAO’s mission of stroke awareness and prevention

Preferred

Experience working in a nonprofit, healthcare, or public health organization
Familiarity with volunteer management software or CRM platforms
Experience coordinating educational presentations or community training programs
Bilingual or multilingual skills; Spanish fluency a plus
Knowledge of stroke, cardiovascular health, or related public health topics

Work Environment & Physical Requirements

This position operates in both office and community-based settings. Regular local travel throughout the greater tri-county area is required for events, presentations, and material deliveries. The role involves occasional lifting and transport of materials and supplies (up to 30 lbs). Flexible scheduling is available; however, some evening and weekend availability may be required to support events and presentations.
