Overview

Join our dynamic team as an Office Manager and Dispatch Coordinator, where you'll be the heartbeat of our administrative operations and logistics management. This energetic role is perfect for someone who thrives in a fast-paced environment, excels at multitasking, and enjoys creating organized, efficient workflows. You will oversee daily office functions, coordinate dispatch activities, manage vendor relationships, and ensure smooth communication across departments. Your proactive approach will help foster a productive workplace while supporting our team’s success and maintaining exceptional client service standards.

Responsibilities

Manage daily office operations, including front desk duties, answering telephones; filing systems, and general administrative support.
Coordinate dispatch activities by scheduling service appointments, tracking deliveries, and ensuring timely communication with clients, employees and vendors.
Oversee vendor management processes to maintain strong relationships, negotiate contracts, and ensure quality service delivery.
Supervise plumbing technician staff and provide training and development opportunities to enhance team performance.
Handle human resources functions such as on-boarding new employees, and maintaining confidential personnel records.
Oversee budgeting and bookkeeping tasks to monitor expenses, process invoices, and ensure accurate financial record-keeping.
Utilize Microsoft Office tools and spreadsheets to prepare reports, track schedules, and organize data efficiently.
Manage calendar scheduling for all plumbers, helpers and team members to optimize time management and appointment coordination.
Ensure excellent customer service by addressing client inquiries promptly via phone or email while maintaining professional communication etiquette.
Support event planning efforts for company meetings or community outreach initiatives as needed.
Working together with Office Assistant to maintain excel timesheet for our commission plumbers

Requirements

Proven experience in office management or administrative roles with supervisory responsibilities.
Strong organizational skills with the ability to prioritize tasks effectively in a busy environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with experience using accounting software such as QuickBooks.
Demonstrated experience with bookkeeping, payroll processing, budgeting, and basic accounting principles.
Excellent communication skills—both verbal and written—with a professional phone etiquette.
Ability to handle confidential information discreetly and responsibly.
Experience in vendor management, human resources functions, and team supervision is highly desirable.
Knowledge of scheduling software or calendar management tools to coordinate multiple priorities seamlessly.
Technical proficiency in office equipment, financial software, and customer service platforms is essential.
