Overview

We are seeking a dynamic and friendly Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energy and organizational skills will help create a positive environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily operations with enthusiasm and professionalism.

Duties

Greet visitors, clients, and staff warmly, ensuring a positive first impression at all times
Answer multi-line phone systems promptly and professionally, directing calls efficiently
Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
Handle data entry tasks accurately within spreadsheets and client management systems like QuickBooks
Maintain organized filing systems, including document proofreading and record keeping
Assist with clerical duties such as copying, scanning, and preparing correspondence or reports
Support office management tasks including supply inventory checks and basic bookkeeping activities

Requirements

Proven office experience with strong computer literacy in Microsoft Office, Google Workspace, and data management tools
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Strong customer service skills with professional phone etiquette and client communication abilities
Bilingual proficiency is a plus to serve diverse client needs seamlessly
Prior experience with front desk or administrative roles in medical or dental settings is advantageous
Technical proficiency in office management software such as QuickBooks, spreadsheets, and word processing programs
Exceptional time management skills with the ability to prioritize tasks efficiently
Clerical experience including filing, proofreading, and data entry to ensure accuracy and professionalism
