The Purchasing Manager oversees the purchase of products, services and equipment for the companies clients. They are expected to develop and implement purchasing strategies, manage the Purchasing and Logistics Departments and ensure that an organization gets good deals and wins as many orders as possible Via support of their Sales Team.
The primary responsibility of the Purchasing Manager is the Oversite of all matters relating to Vendors and sourcing along with the management, nurturing and monitoring of direct reports and their handling of the Purchasing, Expediting and Logistics Functions.
The Purchasing manager establishes smooth inter-department communications and coordination with the Sales Team and other departments. Responsible for clear and concise review and acceptance of quotations received with specific regard to the technical parameters offered and confirming any differences, changes or questions needing clarification prior to passing to Sales for quotation.
The Purchasing Manager must know about all of the current suppliers in depth, whilst proactively searching for new potential suppliers who offer better conditions. Along with proactive supplier management and analysis, the Purchasing Manager must also negotiate favorable prices, times and delivery conditions with these suppliers. Another role of the Purchasing Manager is assessing the quality of the products received, following the parameters established by the quality department of the company.
The Purchasing Manager should know about all of the processes associated with the department, as well as managing the documents and administration work associated with each purchase. They are not only involved in daily management, but also in the improvement of internal bureaucratic procedures that streamline the purchasing process and productivity of the department.
Important responsibilities include the following but not limited to: Sourcing and shopping new requisitions; Purchasing for all orders; Supervising the order process from beginning to end; Establishing and maintaining vendor relationships; support the Sales Dept as needed with daily communications. The Purchasing Manager will be the primary point of vendor contact for all existing requisitions, Purchase Orders and related subjects to the order. In addition, the Purchasing Manager will support, assist AND back up the Logistics Department for all logistical arrangements of orders including the shipment and collection of orders, assisting brokers with Customs clearance, creating BOL’s, other documents, etc.. Arranging all movements of orders, in or out, whether Via Courier, Air Freight or Sea Freight, Domestic or International. The Purchasing manager accomplishes global research of new sourcing via the Internet, attending tradeshows and via networking. They also establish, implement and update all Purchasing policies and ensure department compliance.
Responsibilities
- In charge of processing daily email in a timely fashion for new requisitions and Purchase Orders
- Handle incoming calls and emails from Vendors in regards to questions and guidance of requisitions and Orders.
- Oversite of Purchasing Agents, Logistics Coordinators and Administrative Assistant’s on their duties when it comes to Expediting all matters and the processing of Purchase Orders from beginning to end and supply chain
- Overseeing daily activities of the purchasing department, including delegating tasks and supervising teams
- Prepare, maintain and monitor the Purchasing Departments performance via KPI reports
- Supervise all Direct Reports with their various tasks, including the typing and shopping of requisitions, Salesforce upkeep, Expediting and Logistics when required.
- Establishing quality control
- Compiling and maintaining purchase records, supplier databases and procurement contracts
- Responsible for evaluating suppliers and negotiating contracts to achieve the lowest price for high-quality goods
- Ability to read and interpret specifications, plans, and drawings.
- Responsible for the handling of all problematic issues with Vendors (Non-response / supply chain issues / Returns, etc..)
- Daily Maintenance and data entry of intel on Requisitions and Orders in the Salesforce customer database.
- Ensuring we meet or exceed Clients promised delivery dates for orders
- Building and managing the purchasing department
- Develop Purchasing strategies
- Hiring and training of new purchasing / logistics staff
- Coordinate with accounting department for order processing when necessary
Requirements
· BS in Business Administration, Supply Chain Management or Logistics
· 5-7 years of experience as a purchasing manager or agent.; preferably Procurement and / or managing Assets in the Maritime Sector.
· Experience using procurement software and databases.
· Supervisory experience
- Proven Track Record of success managing direct reports
- Familiarity with standard procurement concepts, best practices and techniques.
- Good understanding of all logistic methods and import/customs procedures.
- Effective attention to detail and a high degree of accuracy.
- Strong work ethic and a positive team player.
- Strong problem identification and resolution skills.
- Ability to build and maintain lasting relationships with other departments, key business partners and other third parties as required.
- Ability to effectively communicate both verbally and in writing.
- Sound analytical thinking, planning, prioritization and execution skills.
- Experience in a 100% Electronic Paperless world utilizing Salesforce, Intuit - Enterprise Solutions, MS Teams and MS office Suite
- Purchasing, Supply Chain, Project Management and Experience working with European, Asian and other international vendors is considered an asset.
- Experience with foreign currencies is a plus
- Maritime Machinery knowledge is a plus
- Direct Maritime Purchasing Experience is a major plus
