Full Job Description

Senior Payroll Manager

Position Summary

We are seeking an experienced Senior Payroll Manager to oversee payroll operations for a growing, multi-state, multi-entity organization. This is a hands-on player-coach role with end-to-end ownership and accountability for the payroll function, ensuring accurate, timely, compliant, and consistent payroll while strengthening and standardizing payroll processes across the organization.

The ideal candidate has a proven track record of independently owning a complex payroll function rather than managing only one component of payroll within a larger payroll team. This individual will serve as the payroll subject matter expert, combining leadership and oversight with a willingness to work directly in the details when needed. The role works closely with employees, HR, Finance, managers, and timekeeping administrators in a fast-paced, evolving environment.

Key Responsibilities

Own and manage end-to-end payroll operations across multiple legal entities and states, ensuring accurate and timely payroll processing.
Serve as the organization's payroll subject matter expert and primary resource for complex payroll questions and issues.
Actively manage and track federal, state, and local payroll tax withholding requirements, unemployment tax accounts and rates, registrations, notices, filings, and related payroll tax matters.
Maintain accurate payroll configurations, including earnings codes, deductions, benefits deductions, garnishments, taxes, and other payroll-related elements.
Monitor payroll activity, reconciliations, exceptions, deadlines, and outstanding issues and drive items through resolution.
Partner closely with HR, Finance, managers, and timekeeping administrators to ensure accurate employee data, time records, payroll inputs, and payroll-related financial information.
Support the consolidation and integration of acquired or transitioning businesses, including moving employee populations from other payroll and timekeeping systems into ADP WFN.
Establish consistent payroll practices across entities and identify opportunities to improve controls, workflows, accuracy, and efficiency.
Develop and maintain payroll SOPs, process documentation, checklists, and controls.
Communicate payroll requirements, deadlines, changes, and issues clearly and professionally to employees and business partners.
Stay current on payroll regulations and ensure payroll practices remain compliant with applicable federal, state, and local requirements.

Qualifications

5+ years of progressive payroll experience, including demonstrated end-to-end ownership and accountability for a payroll function.
Proven experience serving as the primary payroll owner or lead, with responsibility for the full payroll lifecycle rather than a single area of payroll processing.
Strong experience with multi-state and multi-entity payroll.
ADP WFN payroll experience strongly preferred.
Experience with payroll system implementations, conversions, integrations, acquisitions, or transitioning employee populations between payroll systems.
Strong knowledge of payroll taxes, unemployment taxes, earnings, deductions, garnishments, benefits deductions, and payroll compliance.
Experience reconciling payroll and resolving payroll and tax discrepancies.
Ability to create and maintain clear payroll SOPs and process documentation.
Demonstrated player-coach mindset - comfortable providing leadership and direction while remaining hands-on and personally engaged in payroll operations and problem-solving.
Strong organizational skills with the ability to actively manage multiple deadlines, tax matters, open items, and competing priorities.
Excellent written and verbal communication skills and the ability to work effectively with employees, HR, Finance, managers, and operational partners.
Ability to remain agile, organized, and solutions-focused in a high-volume environment with changing priorities.
Strong attention to detail, judgment, and commitment to payroll accuracy and confidentiality.
CPP certification is a plus but not required.

What We're Looking For

We are looking for someone who has owned payroll from start to finish and enjoys being both a leader and a hands-on practitioner. The right person has been accountable for the overall success of a payroll operation - not simply responsible for processing an assigned population or one portion of the payroll cycle.

This person should be technically strong enough to be the go-to resource for payroll, organized enough to stay ahead of taxes, deadlines, reconciliations, and open issues, and collaborative enough to build strong relationships across the organization. They should be comfortable bringing structure to complexity, solving problems, documenting processes, and driving greater consistency and payroll excellence as the organization grows.

Pay: $125,000.00 - $150,000.00 per year
