Job Summary

We are seeking a dynamic and highly organized Construction Office Manager to oversee the administrative operations of our construction projects. This role is vital in ensuring seamless project coordination, effective communication among teams, and efficient management of office functions. The ideal candidate will bring strong leadership skills, excellent organizational abilities, and a proactive approach to managing the day-to-day activities that keep our construction projects running smoothly. This position offers an exciting opportunity to contribute to large-scale developments while maintaining a vibrant and collaborative office environment.

Duties

Manage all administrative functions related to construction projects, including scheduling, document control, and correspondence.
Supervise office staff, providing training, support, and performance evaluations to foster a productive team environment.
Coordinate with vendors, subcontractors, and suppliers to ensure timely delivery of materials and services.
Oversee vendor management processes, including contract negotiations and performance assessments.
Handle human resources responsibilities such as payroll processing, employee onboarding, and maintaining confidential personnel records.
Utilize accounting software like QuickBooks for budgeting, bookkeeping, invoicing, and expense tracking to ensure financial accuracy.
Manage project schedules using Microsoft Office tools and spreadsheets to monitor deadlines and milestones effectively.
Maintain accurate records of project documentation, permits, invoices, and correspondence for audit readiness.
Facilitate communication between project managers, clients, contractors, and internal teams to ensure clarity and alignment on project objectives.
Oversee office operations including front desk management, multi-line phone systems, filing systems, and calendar management for project timelines.
Support event planning for company meetings or client visits as needed while ensuring professional presentation standards.
Handle client communication with professionalism and courtesy to foster strong relationships and ensure satisfaction.

Qualifications

Proven experience in office management within the construction or related industry; supervisory experience preferred.
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and calendar management tools.
Experience with accounting software such as QuickBooks or similar financial software is essential.
Knowledge of human resources processes including payroll administration and employee onboarding.
Excellent organizational skills with keen attention to detail; ability to manage multiple priorities simultaneously.
Effective communication skills for client interaction, team coordination, and vendor negotiations.
Background in bookkeeping or basic accounting practices; experience with budgeting is highly desirable.
Ability to handle confidential information discreetly while maintaining professionalism at all times.
Office experience in administrative roles such as front desk management or clerical support is advantageous.
Technical proficiency in office equipment including multi-line phones, fax machines, printers, and office software systems.
