Overview

Join our dynamic team as an Administrative Assistant, where your organizational skills and proactive attitude will keep our office running smoothly and efficiently. This role offers an exciting opportunity to support various administrative functions, enhance office operations, and provide exceptional customer service. You will be the backbone of daily activities, ensuring seamless communication, accurate record-keeping, and a welcoming environment for clients and staff alike. Duties

Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth
Operate multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
Handle data entry tasks using computer literacy skills in programs such as Microsoft Office and Google Workspace to maintain organized records
Assist with calendar management and scheduling appointments for team members or executives
Perform clerical duties including filing, proofreading documents, and maintaining organized physical and digital files
Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records
Provide exceptional customer support by responding promptly to inquiries via phone, email, or in person, ensuring a positive experience for all stakeholders
Coordinate office management tasks such as supply inventory, mail distribution, and general administrative support to keep operations efficient
Maintain professionalism in all interactions, demonstrating excellent phone etiquette and organizational skills at all times

Qualifications

Proven experience in office administration, clerical work, or related roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with QuickBooks or other bookkeeping software is highly desirable
Excellent communication skills in English; bilingual abilities are a plus for serving diverse clients and staff
Experience with multi-line phone systems, front desk operations, and customer service best practices
Strong typing speed with high accuracy; attention to detail in proofreading and data entry tasks
Knowledge of office management procedures including filing systems, calendar management, and time management techniques
Previous experience as a medical receptionist or dental receptionist is advantageous but not required
Personal assistant experience or experience supporting executives can be beneficial
