VINES is a community-rooted nonprofit working to grow food security and urban agriculture right here in the Binghamton area. We're looking for a part-time Admin & Finance Assistant to help keep our operations running smoothly behind the scenes — so we can keep our focus on the soil, the harvest, and the people we serve.

Employment Terms: This is a 15 hour/week part-time, non-exempt position, with potential for increased hours in the future.
Salary & Benefits: $20-22/hour. Eligible for Paid family leave. Flexible schedule.
Summary: Coordinates a variety of financial and administrative responsibilities in support of the organization. This position is suited for a detail-oriented person who would enjoy being part of a mission driven team.
Key Duties and Responsibilities:
Financial Tasks
- Oversees the depositing of all sources of income for the organization, including entry of online payments and physical checks in QuickBooks Online, data entry in VINES' donor management software, and bringing deposits to the bank
- Coordinates processing and approval of bills for entry into QuickBooks Online by the Accountant and subsequently ensures checks are signed and mailed;
- Oversees monthly credit card reconciliation process by ensuring staff complete their reconciliations, reviewing for completion, and preparing materials for the Accountant;
- Assists with processing payroll by ensuring that all employees have submitted timesheets by the, managers have approved timesheets, and hours are entered in the payroll system biweekly;
- Assists with invoicing grants, including but not limited to compiling expense documentation, complete forms for grantors
- Oversees donor database along with and data entry processes and procedures and generates acknowledgment letters;
General Administrative Tasks
- Greets visitors, answers incoming calls, handles incoming and outgoing mail;
- Support various programs in data entry in databases;
- Oversee facilities management, including janitorial services, equipment & supplies management;
- Ensures operation of equipment by completing preventive maintenance, troubleshooting malfunctions, calling for repairs, evaluating new equipment and techniques;
- Provides general administrative support for events;
- Maintains confidence and protects operations by keeping information confidential;
- Photocopies, scans, and files appropriate documents;
- Performs other duties as assigned by VINES Executive Director.
Skills & Qualifications
- Previous experience in administrative roles;
- Experience with and good knowledge of accounting and bookkeeping procedures;
- Strong proficiency in using Quickbooks or similar financial management software, databases, Microsoft Suite and Google Workspace programs, with an ability to become familiar with firm-specific programs and software;
- Familiarity with office equipment;
- Highly organized with strong administrative skills, excellent attention to detail, and ability to create and easy-to-follow system for others;
- Ability to multitask and create solutions to problems as they arise;
- Strong problem-solving skills;
- Sense of humor and ability to manage a busy environment;
- Ability to work both independently and aspart of a team;
- Ability to work with people from a variety of ages, socioeconomic and ethnic backgrounds;
- Friendly and professional demeanor;
- Flexibility to adjust to new strategies, procedures, and tasks as the organization evolves.
