Overview
We are seeking a Bi-Weekly (Weekender) dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience from the moment they arrive. Your energetic approach and organizational skills will help maintain an efficient office environment, support administrative operations, and foster positive interactions that reflect our commitment to excellent customer service. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a vibrant team.

Duties

Greet visitors and clients warmly, providing exceptional customer service and assistance
Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
Schedule appointments, coordinate calendar management, and organize meetings for staff and executives
Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records
Maintain office supplies inventory, order necessary materials, and oversee general office cleanliness and organization
Support administrative tasks such as copying, scanning, and managing correspondence using Microsoft Office and Google Workspace tools
Assist with bookkeeping duties using QuickBooks or similar accounting software when needed
Provide support for medical or dental receptionist duties if applicable, including patient check-in/out and insurance verification

Skills

Proven experience in office management or administrative support roles with strong clerical skills
Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are highly valued to serve diverse client needs effectively
Exceptional phone etiquette skills combined with experience managing multi-line phone systems
Attention to detail in proofreading documents and data entry tasks to ensure accuracy
Ability to handle confidential information discreetly while maintaining professionalism
Time management skills that enable prioritization of tasks for maximum productivity
Personal assistant or medical/dental receptionist experience is a plus, especially in calendar management and patient/customer support roles
