Fund Accounting Bookkeeper

Location: Salem, VA (On-site)

Position Type: Individual Contributor (no supervisory responsibilities at this time)

Compensation: Commensurate with experience (hourly/non-exempt with potential for salary/exempt based on qualifications)

Lawrence C. Musgrove Associates, Inc. is a trusted, family-owned business in Salem, VA, serving clients since 1977. We specialize in the administration of Taft-Hartley (multiemployer) benefit funds, including health & welfare, defined benefit pension, and defined contribution annuity plans, with a strong focus on service and compliance.

Position Summary

The Fund Accounting Bookkeeper supports the financial operations of approximately 40 employee benefit plans and related entities, including Taft-Hartley (multiemployer) and municipal clients. This role supports disbursement scheduling/processing oversight, month-end close activities, trustee reporting support, audit support, and recurring tax filings and payments across multiple clients with varying fiscal years.

This position requires strong financial systems capability, including daily work in QuickBooks Desktop 2023 and coordination of financial workflows across three benefit administration software platforms. The ideal candidate is accurate, control-minded, and comfortable managing recurring deadlines and documentation requirements year-round.

Scope note: Invoice receipt, validation, approval routing, cash posting, and deposit entry are conducted by other staff.

Key Responsibilities

Schedule approved plan expense payments in QuickBooks Desktop 2023 and/or review payment scheduling completed by support staff

Prepare and/or oversee check and ACH processing, including batch review, required approvals, and documentation retention

Review disbursement details for accuracy (plan/entity assignment, GL coding, payment method, and supporting documentation)

Coordinate resolution of payment exceptions (voids, reissues, returned payments, duplicate payment risk, timing conflicts)

Manage month-end close schedules and recurring month-end tasks for assigned plans and entities

Perform and/or support monthly reconciliations (including disbursement clearing and bank reconciliation support) based on assigned duties and internal control requirements

Maintain complete month-end close documentation and support audit-ready record retention

Support trustee meeting financial packets (disbursement reports, check registers, expense summaries, recurring schedules)

Follow the firm’s established chart of accounts and expense coding structure for current clients; create new client charts of accounts in QuickBooks Desktop 2023

Coordinate financial workflows that interface with three benefit administration systems and maintain standardized documentation

Communicate directly with plan auditors to fulfill audit requests (reconciliations, disbursement support, vendor records, selected backup)

Coordinate the annual 1099 process (W-9 tracking, vendor file review, compiling payment data, and coordination with internal leadership and/or external tax support resources)

Prepare and file federal and state tax filings associated with member benefit payments across multiple plans/entities, including Form 941 (and other required filings as applicable)

Process and track tax deposits and payments according to required schedules (monthly/quarterly/annual) and retain confirmations

Use federal and state electronic filing and payment systems/tax portals and maintain organized supporting documentation

For designated clients, prepare and submit required state unemployment filings and payments

Maintain strong internal controls and support segregation of duties (payment processing and bank reconciliation responsibilities are assigned accordingly)

Required Qualifications

Minimum 3–5 years of relevant bookkeeping/accounting experience, including disbursement support and month-end close activities

Experience managing recurring close schedules and financial reporting support

Strong accounting software experience required; QuickBooks Desktop preferred

Ability to work across multiple systems, including benefit administration platforms, while maintaining clean documentation and reporting schedules

Strong Excel skills required

Strong organizational skills and ability to manage recurring deadlines across multiple entities/clients

Education

Degree preferred but not required (Associate’s or Bachelor’s in Accounting, Finance, Business, or a related field).

Salary commensurate with experience

PTO: 2 weeks first year (1 week after 90 days; 1 week after 6 months); 3 weeks at 2–5 years; 4 weeks at 6–9 years; 5 weeks at 10+ years

90/10 Medical Plan ($50 individual deductible; $100 family deductible per calendar year)
