Marketing & Events Coordinator
The mission of the Boys & Girls Clubs of Bloomington is to empower all young people, especially those who need us most, to reach their full potential as caring, productive, responsible citizens. Since 1956, the organization has been dedicated to safely serving youth in our local community. We provide out-of-school time opportunities to school-aged youth in Monroe and Owen Counties through camps and after-school programs. POSITION DESCRIPTION:
Boys & Girls Clubs of Bloomington is looking for a creative, organized, and mission-driven Marketing & Events Coordinator to help tell the Club’s story and bring our signature fundraising events to life. This role is approximately 50% marketing and communications and 50% event planning and logistics support. Every child deserves a safe place to learn, grow, and thrive. We believe that. This is a part time position of 20 hours per week.

ESSENTIAL JOB FUNCTIONS:
Marketing & Communications
- Manage and grow the Club’s social media presence across Facebook, Instagram, LinkedIn, and YouTube. Create and schedule content that highlights programs, members, volunteers, donors, and events.
- Design program facing and event marketing materials: flyers, invitations, digital graphics, event signage, certificates, and ads using Canva and similar platforms.
- Create and distribute email newsletters and campaigns through Constant Contact or similar platforms.
- Assist with website updates including staff pages, event info, and news.
- Capture and organize photos and videos for marketing, fundraising, and grant reporting.
- Collect member success stories through Great Moments, testimonials, and program highlights to support ongoing storytelling.
- Monitor analytics and prepare regular reports on social media, email, and website performance.
- Maintain Boys & Girls Club of America brand standards across all communications and materials through parent emails and HR emails.
- Support direct mail, annual campaign materials, and donor-focused communications.
- Maintain an organized library of photos, videos, templates, and branded assets.
Event Support
- Work alongside the Event Director to plan, promote, and execute key organizational events—including Lemonade Day, Club Heroes Golf Marathon, annual campaign events, donor and corporate stewardship events, and family and Club engagement events.
- Create and manage marketing plans and promotional timelines for assigned events.
- Design event materials: sponsorship packets, invitations, signage, programs, and social media and email graphics.
- Coordinate event registrations, guest communications, volunteer outreach, and sponsorship recognition.
- Assist with sponsor fulfillment including logo placement and stewardship materials.
- Manage event photography and content collection before, during, and after events.
- Support day-of-event logistics: vendor coordination, setup, registration, and on-site operations.
- Assist with post-event reporting, sponsor recognition, and stewardship follow-up.
- Track event attendance, sponsorships, and marketing performance metrics.
Additional Responsibilities
- Assist with annual reports, impact reports, and campaign materials.
- Support Club merchandise, swag, Club/Staff t-shirts, promotional item project, and internal signage, business cards, name badges.
- Maintain marketing, event records, files, and high resolution cameras, tripod, videography equipment, projector, podium.
- Management volunteers and/or interns.
- Perform other duties as assigned.
QUALIFICATIONS:
- Associate’s or Bachelor’s degree in Marketing, Communications, Public Relations, Event Management, or a related field preferred.
- Experience in marketing, communications, event coordination, or nonprofit work preferred. Equivalent combinations of education and experience will be considered.
- Hands-on experience with Canva and social media management required.
SKILLS/KNOWLEDGE REQUIREMENTS:
- Strong written and verbal communication skills with a keen eye for detail.
- Excellent organizational and project management abilities. Comfortable juggling multiple priorities.
- Familiarity with WordPress, Constant Contact, Adobe Creative Suite, or similar platforms is a plus.
- Comfortable engaging with donors, volunteers, sponsors, community partners, and Club families.
- Able to work independently and collaboratively. Discretion and professionalism are a must.
- Willingness to work occasional evenings and weekends for events.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT:
- Ability to perform gross and fine motor activities required for typing, writing, simple manipulations such as telephone buttons, computer keyboards, fax machine buttons, etc.
- Ability to work in a professional environment and positively represent organization under various levels of stress.
- Ability to work on multiple projects and prioritize effectively.
- Visual acuity for accurate reading, typing, filing and use of computer screen.
- Ability to work at a rapid pace and where frequent interruptions and changes in plans or deadlines may occur.
- Hearing is needed for purposes of business related phone communications, public broadcasts, answering incoming phone calls, etc.
- Ability to lift and carry 15 to 50 pounds for office supplies, audio equipment, and other items needed for the preparation and takedown of special events.
- Ability to operate a safe mode of transportation for publicity functions/events, transportation of supplies, and meetings.
- Ability to bend, twist, reach, stoop, squat for filing and retrieval of stored files and supplies.
