Full Job Description

Job Overview
We are looking for a highly organized and dependable Office Coordinator to support the day-to-day operations of our Bloomington office. This position plays a vital role in keeping our administrative processes running smoothly, coordinating communication, and maintaining a professional and welcoming office environment. The ideal candidate is a self-starter with strong communication and multitasking skills who can manage a variety of clerical tasks while supporting both field and office teams.

RESPONSIBILITIES

Serves as the first point of contact for visitors, clients, and vendors - providing a warm, professional welcome.
Answers and routes phone calls and emails; manages incoming and outgoing mail.
Maintains office supplies and ensures office equipment is stocked, organized, and operational.
Supports internal scheduling, including meetings and interviews.
Assists with data entry, document organization, and file management (digital and physical).
Helps with administrative support for project teams, HR, accounting, and leadership as needed.
Coordinates deliveries, vendor services, and office maintenance needs.
Tracks invoices and receipts in coordination with accounting staff.
Maintains a clean, orderly, and professional workspace in front office and shared areas.
Supports company communications, newsletters, or staff announcements as needed.
Performs weekly inspections and keeps company vehicles up to date on required services.
Monitors GPS tracking on company trucks and maintains updated vehicle usage records.
Tracks and manages subcontractor insurance compliance - ensuring all documentation is current and filed as needed.
Coordinates travel and accommodation for employees traveling for work.

QUALIFICATIONS

EDUCATION

Required

High school diploma or equivalent (such as GED or HSED).

Preferred

Associate's degree in business administration, office management, or a related field

WORK EXPERIENCE

Required

1 year of office administration or coordinator experience

Preferred

Experience in construction, architecture, or trade services office environment.

SKILLS

Required

Strong organizational and multitasking abilities
Excellent verbal and written communication skills
Professional and friendly demeanor with a customer service mindset
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Attention to detail and ability to manage confidential information
Dependability and a proactive approach to problem-solving

Preferred

Familiarity with office or project management software (e.g., Procore, QuickBooks, Adobe)
Experience supporting field teams or construction-related operations

Job Type: Full-time

Pay: $15.00 - $18.00 per hour

Expected hours: 40 per week
