Central Supply / Medical Records Coordinator

Skilled Nursing Facility – Ohio

Join Our Team!

We are seeking a highly organized, detail-oriented Central Supply / Medical Records Coordinator to join our skilled nursing facility team. This dual-role position is ideal for a self-motivated professional who thrives in a fast-paced healthcare environment and is committed to supporting quality resident care through efficient supply management and accurate medical record maintenance.

Position Summary

The Central Supply / Medical Records Coordinator is responsible for maintaining organized medical records, managing electronic health record (EHR) requests, overseeing inventory and supply distribution, and ensuring compliance with state and federal regulations. The successful candidate will be a dependable self-starter with excellent organizational skills and a strong attention to detail.

Essential Duties and Responsibilities

Medical Records

Maintain accurate and complete resident medical records in accordance with federal and state regulations.
Process requests for medical records related to:
Insurance claims
Medicare and Medicaid reviews
Audits and surveys
Quality assurance activities
Authorized release of information requests
Retrieve and provide EHR documentation within required timelines.
Scan, file, organize, and maintain resident records.
Monitor record completion and follow up on deficiencies.
Maintain strict confidentiality in accordance with HIPAA requirements.

Central Supply

Maintain organized and well-stocked supply rooms and storage closets.
Order, receive, distribute, and track facility supplies.
Monitor inventory levels and prevent shortages.
Rotate stock and monitor expiration dates.
Verify packing slips and invoices for accuracy.
Work with department managers to ensure supply needs are met.
Assist in identifying cost-saving opportunities and inventory efficiencies.

Qualifications

High School Diploma or GED required.
Experience in healthcare, long-term care, medical records, central supply, or office administration preferred.
Knowledge of Electronic Health Record (EHR) systems preferred.
Proficiency with Microsoft Office (Word, Excel, Outlook).
Understanding of HIPAA and confidentiality requirements.
Experience working in a skilled nursing or long-term care environment is a plus.

Physical Requirements

Ability to sit, stand, walk, bend, and reach throughout the workday.
Ability to lift and carry up to 30 pounds.
Ability to move supply carts and transport materials throughout the facility.
