About the Position
Air Building Technologies is seeking an organized, dependable, and customer-focused Service Coordinator / Office Administrator to support our day-to-day office and service operations.
This position serves as a central point of communication between our customers, field technicians, vendors, and management. The ideal candidate is comfortable answering phones, coordinating technician schedules, handling multiple priorities, and performing routine bookkeeping and administrative duties.
Experience in the HVAC, building automation, electrical, mechanical, or other service/construction industries is a plus but is not required.
Key ResponsibilitiesService Scheduling & Coordination
- Answer incoming customer calls and emails and assist with service requests.
- Schedule and dispatch technicians and field personnel.
- Maintain the service calendar and coordinate daily technician schedules.
- Gather the necessary information from customers when service calls are received.
- Communicate schedule changes, technician arrival information, and service status with customers.
- Coordinate with technicians regarding job status, scheduling changes, and additional work required.
- Create and maintain service work orders.
- Follow up on open service calls and outstanding work.
- Help ensure completed service calls are properly documented and ready for invoicing.
Bookkeeping & Accounting Support
- Prepare and send customer invoices.
- Enter vendor bills, receipts, and expenses.
- Assist with accounts payable and accounts receivable.
- Track outstanding customer invoices and assist with collection follow-up.
- Maintain organized financial and transaction records.
- Reconcile transactions and assist with routine bookkeeping activities.
- Work with management and the company's accountant as needed.
- Assist with purchase orders and vendor documentation.
Office Administration
- Maintain customer, vendor, and project records.
- Organize electronic and paper documentation.
- Assist with technician time records and job documentation.
- Order office and job-related supplies as needed.
- Assist with general administrative tasks and data entry.
- Maintain organized records for service agreements, projects, and customer accounts.
- Provide administrative support to management and field personnel.
Qualifications
- Previous office administration, service coordination, dispatching, or bookkeeping experience preferred.
- Strong organizational and time-management skills.
- Professional and courteous telephone and customer-service skills.
- Ability to manage multiple priorities in a fast-paced service environment.
- Comfortable working with computers, email, spreadsheets, and business software.
- Basic understanding of bookkeeping, invoicing, accounts payable, and accounts receivable.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Ability to work independently and take ownership of assigned responsibilities.
- Dependable and able to maintain confidential business and customer information.
Preferred Experience
Experience with any of the following is helpful but not required:
- QuickBooks or similar accounting software
- Microsoft Outlook, Word, and Excel
- Service dispatch or scheduling software
- HVAC, building automation, electrical, mechanical, or construction companies
- Work orders and service invoicing
- Accounts payable and accounts receivable
- Customer service in a service-based business

Compensation
$18.00–$26.00 per hour, depending on experience and qualifications.
Compensation may be adjusted based on experience with bookkeeping, service dispatching, QuickBooks, and the HVAC/building automation industry.
