Job Overview

Maymead is seeking a professional and detail-oriented Accounts Receivable & Front Desk Administrator to join our finance and administrative team. This vital role combines managing accounts receivable processes with providing exceptional front desk support, ensuring smooth daily operations and fostering positive client interactions as the first point of contact for visitors. The ideal candidate will be energized by multitasking, possess strong communication skills, and demonstrate a proactive approach to managing multiple priorities in a fast-paced environment. This position offers an exciting opportunity to contribute to a collaborative environment while sharpening your expertise in accounting systems, client communication, and administrative excellence.

Key Responsibilities

Accounts Receivable Administration:

Manage the full cycle of accounts receivable, including invoicing, collections, account reconciliation, and tracking past-due balances.
Perform data entry with precision into accounting systems and maintain accurate records of billing, payments, and client transactions.
Prepare and distribute invoices and account statements.
Process customer payments and apply cash receipts accurately.
Reconcile accounts receivable balances regularly to ensure accuracy and resolve discrepancies promptly.
Maintain accurate, organized records of all billing activities, correspondence, and client interactions for audit readiness and reporting purposes.
Assist with month-end reporting and account reconciliations.
Support accounting staff with additional administrative duties as needed.

Front Desk Administration:

Serve as the first point of contact for visitors, guests, and callers by providing a welcoming, professional, and courteous experience.
Greet and assist visitors, directing them to the appropriate personnel or department as needed.
Answer, screen, and route incoming telephone calls while providing professional customer service.
Receive, sort, and distribute incoming mail, packages, and deliveries.
Maintain a clean, organized, and professional reception area and common areas.
Provide general administrative and clerical support to various departments as needed.
Assist with day-to-day office operations and other administrative duties to support the overall efficiency of the office.

Qualifications & Experience

High school diploma or equivalent required; associate degree in accounting, business administration, or related field preferred.
Minimum of 2 years of experience in accounts receivable, accounting, bookkeeping, office administration, customer service, or a related field.
Working knowledge of accounts receivable processes, including invoicing, payment processing, account reconciliation, and maintaining accurate financial records.
Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
Strong organizational and time management skills, with the ability to manage multiple priorities and meet deadlines.
Excellent verbal and written communication skills.
Strong attention to detail and accuracy, particularly when handling financial and customer information.
Ability to handle confidential financial and company information with professionalism and discretion.
Valid driver's license with a clean driving record; trips to the bank and other local business errands will be required.
