About us

Woolverton Inn is an exclusive, historic country estate offering overnight accomodations and beautiful event space, perfect for destination weddings, retreats, corporate meetings, and other celebrations or gatherings. Our professional staff provides exceptional hospitality and a unique, magical experience to all guests. With the addition of newly restored event space at our stunning, historic stone barn, we are seeking growth-minded professionals who wish to enrich their careers as our business expands.

Position Overview:

The event coordinator at Woolverton Inn will focus on selling, booking, planning, organizing, and executing large and small scale events, including weddings, meetings, parties, retreats, and other private gatherings. This role works in coordination with the catering and culinary teams and other staff to ensure seamless execution while maintaining client satisfaction and adhering to budget constraints. Key duties include client meetings, menu planning, vendor management, event setup, rentals, staff scheduling, and resolving any issues that may arise during the event cycle.

Key Responsibilities:

Event Sales

Respond to inbound inquiries, phone calls, emails for new events. Schedule and lead tours, follow up with clients, write proposals and contracts. Utilize online event planning software for efficient, accurate tracking of all client information and event details.

Client Consultations and Event Management

Meet with booked clients to understand their event vision, budget, guest count, and dietary needs to create a customized event package and timeline. Track progress and schedule milestones leading up to each event.

Menu Planning

Collaborate with the culinary team to deliver desired menus/packages, including food and beverage options, considering dietary restrictions and client preferences.

Venue Layout and Setup:

Define the event space layout, including table arrangements, décor, and audio-visual equipment, ensuring optimal flow, aesthetics and venue guidelines.

Vendor Management:

Communicate with external vendors such as florists, officiants, photographers, hair/make up and entertainment providers.

Event Execution

Oversee all aspects of the event “end to end” from time of booking, including event planning, food service, beverage management, guest flow, and addressing any issues that may arise. Assist the catering director to oversee catering aspects of the event on-site, including rentals, floor plans, food service, beverage management, guest flow, vendors, and addressing any issues that may arise.

Post-Event Follow-up:

Review event feedback, address client concerns, and prepare necessary reports for future improvements.

Qualifications:

Previous experience in event coordination, event sales or catering operations , with a proven track record of success.
Strong teamwork and interpersonal skills, with the ability to stay calm and professional at all times.
Excellent organizational and time management abilities, with the capacity to multitask and prioritize effectively in a fast-paced environment.
Exceptional customer service skills, with a passion for creating memorable experiences.
Proficiency in computer applications, including catering or event management software and Microsoft Office suite.
Flexibility to work evenings, weekends, and holidays as needed.
Must be physically fit, be able to work on your feet, traverse the property, pull wagons, lift boxes, move tables and chairs.
