Overview

We are seeking a dynamic and highly organized Secretary to join our team, providing essential administrative support to ensure smooth daily operations. This role offers an exciting opportunity for a proactive professional who excels in office management, communication, and multitasking. The ideal candidate will be a motivated self-starter with excellent computer skills, strong organizational abilities, and a friendly demeanor that enhances client and team interactions. As a key member of our administrative team, you will help maintain an efficient office environment and support various departments with clerical and customer service responsibilities.

Duties

Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
Handle scheduling and calendar management for executives and team members, ensuring appointments are organized and timely
Perform data entry tasks accurately
Maintain filing systems, both digital and physical, ensuring documents are organized, accessible, and up-to-date
Provide exceptional customer support by responding to inquiries via phone, email, or in person with clear communication and positive attitude
Support office management activities including supply ordering, document proofreading, calendar coordination, and general administrative tasks

Requirements

Proven experience in an office environment with clerical or administrative responsibilities
Strong computer literacy with proficiency
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting
Exceptional phone etiquette and customer service skills, including experience managing multi-line phone systems
Experience as a medical or dental receptionist or personal assistant is advantageous but not required
Demonstrated ability to handle confidential information discreetly while maintaining professionalism
Strong typing skills with attention to detail for proofreading and document accuracy
Ability to manage time effectively while juggling multiple responsibilities in a busy office environment
