Overview:

The School Bookkeeper / Finance Manager is responsible for the day-to-day financial operations of the school, ensuring accurate, timely, and confidential management of the school’s financial records and transactions. This position oversees accounts payable, accounts receivable, tuition billing and collections, financial aid and scholarship administration, payroll coordination, budgeting, bank reconciliations, deposits, and monthly financial reporting.

The ideal candidate is highly organized, detail-oriented, trustworthy, and comfortable working independently while collaborating closely with the Principal, school leadership, families, employees, and parish or Archdiocesan personnel. The candidate should understand and support the mission and values of Catholic education and demonstrate a commitment to maintaining the highest standards of financial stewardship.

Essential Responsibilities:

Accounts Payable:

Manage the school’s accounts payable process from receipt of invoices through payment.
Review invoices for accuracy, appropriate approvals, coding, and supporting documentation.
Prepare and process checks, electronic payments, and other disbursements.
Maintain accurate vendor records and resolve billing discrepancies.

Accounts Receivable & Deposits:

Manage accounts receivable and ensure accurate recording of all school revenues.
Prepare and make school deposits and maintain appropriate supporting documentation.
Monitor outstanding receivables and follow up on past-due balances.
Record tuition, fees, fundraising proceeds, grants, and other school income.
Reconcile receivable accounts and investigate discrepancies.

Tuition & Financial Aid:

Manage the school’s tuition billing and collection process.
Maintain accurate student tuition accounts and payment schedules.
Process tuition payments, payment plans, discounts, credits, and adjustments.
Monitor outstanding tuition balances and communicate with families regarding account questions and payment concerns.
Maintain confidentiality of all family financial information.
Administer financial aid and scholarship awards in accordance with established school policies.
Maintain accurate records of financial aid and scholarship commitments and disbursements.
Work with school leadership to ensure appropriate documentation and approval of financial aid and scholarships.

Payroll & Employee Records:

Coordinate the school’s payroll process, ensuring accurate and timely payment of employees.
Maintain accurate payroll and employee-related financial records.
Coordinate employee changes affecting payroll, including new hires, compensation changes, deductions, and terminations.
Maintain confidentiality of employee and payroll information.
Work with the appropriate payroll provider or Archdiocesan personnel to resolve payroll issues.

Budgeting & Financial Planning:

Assist school leadership in developing the annual operating budget.
Maintain the school’s budget throughout the fiscal year and monitor actual results against budget.
Track revenues and expenditures and identify significant
Provide financial information and analysis to assist the Principal and school leadership in decision-making.
Assist with financial projections, cash-flow planning, and long-term financial planning.
Support budget development for individual departments, programs, and initiatives

Finanical Reporting & Reconciliation:

Prepare accurate monthly financial reports for school leadership.
Prepare budget-to-actual reports and explain significant variances.
Complete monthly bank reconciliations and reconcile financial accounts.
Review general ledger activity for accuracy and proper coding.
Maintain complete and organized financial records.
Assist with year-end closing, audits, reviews, and required financial reporting.
Ensure financial records and processes comply with school, parish, Archdiocesan, and applicable accounting policies.

General Financial Administration:

Maintain accurate and confidential financial files and records.
Establish and maintain effective internal controls and financial procedures.
Ensure proper authorization and documentation of financial transactions.
Respond to questions from families, employees, vendors, parish personnel, and school leadership regarding financial matters.
Assist with financial aspects of fundraising activities, grants, and special programs.
Provide financial information and reports to the Principal, Finance Committee, Finance Council, or other designated leadership groups as needed.
Protect the confidentiality and integrity of all financial and student information.
Perform other financial and administrative duties as assigned

Qualifications

Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
Experience in bookkeeping, accounting, school finance, or a related financial position.
Experience with accounts payable, accounts receivable, reconciliations, budgeting, and financial reporting.
Experience managing tuition billing, financial aid, or student accounts preferred.
Strong proficiency with Microsoft Excel and accounting/financial software.
Experience with payroll processing and employee records preferred.
Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Ability to maintain strict confidentiality regarding student, family, employee, and financial information.
Strong written and verbal communication skills.
Ability to work independently, prioritize responsibilities, meet deadlines, and manage multiple financial functions simultaneously.
