Lead Wedding Coordinator (Independent Contractor)

Location: Boulder, Denver & Colorado Mountain Venues (Travel Required)

Position Type: Independent Contractor (1099) – Part-Time, As Needed

Weekend & Evening Availability Required

Ivory Events is an award-winning luxury wedding planning company specializing in elegant, personalized celebrations throughout Colorado. We are looking for an experienced Lead Wedding Coordinator to join our growing team as an Independent Contractor (1099). This is not a full-time or employee position.

Responsibilities

As a Lead Coordinator, you will be responsible for ensuring every wedding is executed flawlessly from start to finish. You'll serve as the primary point of contact on the wedding day while leading vendors, managing timelines, directing assistants, and creating an exceptional experience for our couples and their guests. The ideal candidate will be required to step in 2 months before each wedding date to familiarize themselves with all the details, hop on calls as needed throughout the planning process.

Responsibilities include:

Lead wedding day coordination from setup through event completion.
Execute detailed timelines and production schedules.
Direct ceremony rehearsals.
Communicate professionally with clients, venues, vendors, and wedding parties.
Manage vendor arrivals, setup, and logistics.
Solve problems quickly and calmly under pressure.
Supervise assistant coordinators and event staff.
Ensure every detail is completed to the highest standard.
Maintain a polished, professional appearance and represent Ivory Events with excellence.
Deliver exceptional customer service to every client and vendor.

Qualifications

The ideal candidate is:

Experienced in wedding or event coordination (required).
Exceptionally organized with outstanding attention to detail.
Able to multitask and prioritize in a fast-paced environment.
Calm under pressure and able to think quickly when unexpected situations arise.
An excellent communicator with strong interpersonal skills.
Comfortable taking direction while also working independently.
A natural leader who can confidently manage vendors and event teams.
Reliable, punctual, and highly dependable.
Professional, friendly, and client-focused.
Physically able to lift décor items, stand for extended periods, and work long wedding days.
Comfortable using email, Google Workspace, spreadsheets, timelines, and event planning software.
Holds a valid driver's license and has reliable transportation.
Willing to travel throughout Colorado, including mountain venues.
Available to work evenings, weekends, and holidays during wedding season.
Available to begin working immediately and throughout the Summer/Fall

Preferred Qualifications

2+ years of wedding coordination or event management experience.
Experience coordinating luxury weddings or multi-day wedding celebrations.
Knowledge of Colorado wedding venues is a plus.

This is a 1099 Independent Contractor position. Coordinators are scheduled based on event availability and business needs. Weekend availability is essential, as the majority of weddings take place on Fridays, Saturdays, and Sundays throughout the wedding season.
