Overview

We are seeking a dynamic and highly organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess strong technical proficiency to manage multiple tasks efficiently. In this role, you will be the first point of contact for clients and visitors, while also handling essential office functions that keep our workplace running seamlessly. Duties

Greet visitors, clients, and vendors warmly, providing excellent customer service and professional phone etiquette
Manage multi-line phone systems, directing calls accurately and efficiently to appropriate departments or personnel
Handle data entry tasks using spreadsheets, word processing, and productivity software such as Microsoft Office and Google Workspace
Maintain organized filing systems, including electronic documents and physical files, ensuring quick retrieval of information
Schedule appointments, manage calendars, and coordinate meetings for staff or executives with attention to detail
Perform basic bookkeeping functions using QuickBooks or similar accounting software to support office management needs
Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies

Skills

Proven experience in office management or administrative support roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for document creation and communication
Excellent computer literacy with the ability to learn new software quickly and efficiently
Strong typing skills with high accuracy; familiarity with data entry and proofreading processes
Ability to handle multi-line phone systems confidently while maintaining professionalism in all interactions
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Experience in front desk duties within medical or dental settings is advantageous but not required
Exceptional time management skills to prioritize tasks effectively in a fast-paced environment
