Job Title: Office & Mail Services Associate
Position Type: Full-Time Regular
Location: Boca Raton, FL
Shift time: 8:00 am - 5:00 pm (40 hours / week)
Pay Range: $19 - $20 / hr (Bi-weekly wages) (Final pay is decided by hiring manager after final interview)
Special Skills Required: Reprographics, Mail & Package Logistics, Administrative & Technical Support

Job Summary

We are seeking an energetic, reliable, and detail-oriented Customer Services Associate (CSA) to join our team. In this role, you will serve as a primary liaison between our company and our clients, ensuring smooth day-to-day office operations. Your responsibilities will range from managing mail and packages to executing print/copy/finishing projects, supporting event logistics, and assisting Executive Assistants with special projects.

Key Responsibilities

Mail & Package Logistics:
Process and deliver incoming/outgoing mail and packages daily.
Safely operate Pitney Bowes postage equipment and manage time-sensitive shipments.
Reprographics & Print Services:
Manage, operate, and maintain high-volume print, copy, and scanning equipment.
Assemble professional binders, booklets, and presentation materials.
Client Reception & Hospitality:
Greet visitors warmly, answer incoming calls professionally, and escort clients to conference rooms.
Schedule meeting spaces, prepare conference rooms daily, and manage food catering/takeout orders.
Maintain and restock kitchen and pantry areas to ensure a clean, welcoming environment.
Administrative & Local Support:
Run local errands, including special Post Office requests, courthouse document pickups/deliveries, and meal pickups.
Assist Executive Assistants with special projects and administrative tasks as assigned by the onsite Team Lead.
Maintain accurate logs, reports, and performance measurements while adhering to safety, security, and company guidelines.

Qualifications & Physical Requirements

Education & Experience:
High School Diploma or equivalent required.
Preferred: Prior experience in a legal environment and/or a background in document scanning/reprographics.

Skills:

Excellent verbal and written English communication skills.
Strong computer proficiency (especially email environments and basic office software).
Exceptional organizational skills with the ability to prioritize and multitask independently or as part of a team.

Physical Demands:

Ability to lift up to 50 lbs.
Capability to stand, walk, sit, bend, reach, and engage in repetitive motion tasks for extended periods.
Close vision capability for detailed document inspection and machine operation.

Schedule & Work Environment

Hours: Monday – Friday, 8:00 AM – 5:00 PM (Includes a 1-hour lunch break).
Flexibility: Willingness to work overtime as needed.

“The pay range for this position is $19 - $20 per hour; however, base pay offered may vary depending on job-related knowledge, skills, and experience. Bonus opportunities may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered."
