Office Furniture Project Coordinator – Light Sales

Position Overview
Manasota Office Supplies is seeking an organized, detail-oriented professional to help coordinate commercial office-furniture projects from customer approval through ordering, receiving, installation, final billing, and closeout.
The primary focus of this position is project and order coordination. You will make sure products are ordered accurately, factory acknowledgments are reviewed, orders are tracked, incoming shipments are verified, installers are prepared, and outstanding issues are followed through completion.
The position also includes light sales responsibilities. You will independently manage smaller, more routine furniture opportunities and can earn commission on qualifying sales you generate, manage, or close.
Ownership will continue to lead and sell all medium and large furniture projects. You will support those projects by handling the important processing and coordination work that turns an approved proposal into a successful installation.
This is not a cold-calling, high-pressure, or heavily quota-driven sales position. It is ideal for someone who enjoys helping customers but is especially strong in organization, accuracy, problem-solving, and follow-through.
What You’ll Do
Coordinate Furniture Projects and Orders
- Maintain accurate customer, product, sales-order, purchase-order, and project records in our ERP.
- Prepare sales orders and purchase orders and enter new products into the ERP when needed.
- Send documents for electronic signature and coordinate deposit confirmations with accounting.
- Submit purchase orders to manufacturers and confirm that each order is received and acknowledged.
- Carefully review factory acknowledgments for correct products, quantities, dimensions, finishes, pricing, freight, shipping information, and lead times.
- Work with manufacturers to correct discrepancies before products enter production.
- Track orders through production, shipping, receiving, installation, and final completion.
- Keep customers and management informed about projected arrival and completion dates.
- Resolve backorders, shortages, freight damage, incorrect products, warranty claims, replacement orders, vendor credits, and billing discrepancies.
- Maintain complete project records and provide accounting with the information needed for final billing.
Manage Smaller Furniture Opportunities
- Respond to incoming calls, emails, website inquiries, referrals, and showroom customers.
- Determine the customer’s needs, budget, timeline, and approximate project size.
- Schedule medium and large opportunities with ownership.
- Independently manage smaller and more routine furniture needs.
- Research and recommend appropriate desks, chairs, tables, storage, cubicles, replacement parts, and related products.
- Prepare product selections, estimates, presentations, and basic GIZA layouts when needed.
- Follow up with customers, answer questions, and ask for the order.
- Manage your smaller sales from the initial inquiry through ordering, delivery, installation, and final billing.
- Earn commission on qualifying smaller furniture sales you generate, manage, or close.
Coordinate Receiving and Installation
- Work with delivery drivers, movers, installers, and management when furniture shipments arrive.
- Compare incoming products with purchase orders, acknowledgments, bills of lading, and packing slips.
- Verify quantities and inspect shipments for visible damage, missing components, or incorrect products.
- Photograph and document freight problems when they are discovered.
- Label and organize products by customer and project.
- Help keep customer products protected, identifiable, and accessible for installation.
- Confirm that the necessary products have arrived before scheduling an installation.
- Coordinate installation dates, site contacts, addresses, access requirements, elevator reservations, and building restrictions.
- Prepare installation packets containing drawings, product information, project notes, and completion paperwork.
- Track punch-list items, replacement products, and return visits through final resolution.
- Collect signed completion documents and ensure each finished project is ready for final billing.
This is primarily an office and project-coordination position. Regularly entering the warehouse to inspect, label, verify, and prepare furniture is part of the job. Working closely with install team and moving crews to organize and structure warehouse for product to come in and head out for install.

- Are comfortable dividing your time between office work and an active warehouse environment.
- Want to learn a specialized industry and see projects progress from the first customer conversation through the finished installation.
Qualifications
- Is knowledgeable with the commercial furniture industry, manufactures and their products.
- Strong organizational, communication, and problem-solving skills.
- Experience with project coordination, customer service, purchasing, order processing, inside sales, logistics, or a related responsibility.
- Proficiency with email, Microsoft Office, spreadsheets, and design software GIZA 2020
- Ability to learn and consistently use an ERP system.
- Ability to manage deadlines and maintain accurate records.
- Valid driver’s license and reliable transportation.
- Ability to safely handle samples, chairs, packages, and smaller furniture components.
- Willingness to learn safe forklift operation if not already experienced.
Preferred Experience
Experience in one or more of these areas is especially valuable:
- Commercial office furniture, FF&E, interior products, or construction materials
- Furniture specification or space planning
- GIZA, CET, 2020, ProjectMatrix, AutoCAD, or similar software
- Sales orders, purchase orders, and manufacturer acknowledgments
- ERP, CRM, inventory, or project-management systems
- Procurement, receiving, warehouse organization, or installation coordination
- Freight claims, shortages, warranties, RMAs, replacement orders, or vendor credits
- Inside sales, account management, or customer follow-up
Commercial office-furniture experience is preferred, but we will consider a highly organized and capable candidate from a related industry who is willing to learn.
Compensation and Schedule
- $23–$30 per hour, based on experience
- Plus commission on qualifying furniture sales

- 7:00 a.m.–4:00 p.m.
Commission can be earned on qualifying smaller furniture opportunities the employee generates, manages, or closes.
