Full Job Description

Job Summary

We are seeking an energetic and highly organized Office Manager to oversee daily administrative operations and ensure a smooth, efficient workplace environment. This vital role involves managing office procedures, supporting staff, coordinating communication, and maintaining organizational systems. The ideal candidate will bring a proactive attitude, excellent communication skills, and a knack for multitasking to keep our office running seamlessly. This paid position offers an exciting opportunity to contribute to a dynamic team while honing your administrative expertise.

Responsibilities

Oversee general office operations, including supply management, equipment maintenance, and workspace organization
Manage multi-line phone systems, direct calls professionally, and handle customer inquiries with courtesy and efficiency
Coordinate calendar management, scheduling meetings, appointments, and events for staff and leadership
Maintain accurate records through data entry, spreadsheets, and word processing tasks using productivity software such as Microsoft Office and QuickBooks
Provide exceptional customer service at the front desk by greeting visitors, answering questions, and supporting client communication
Assist with bookkeeping duties including invoicing, expense tracking, and basic financial recordkeeping using QuickBooks or similar software
Support administrative functions such as proofreading documents, managing correspondence, and organizing files to enhance overall productivity

Requirements

Proven office management or administrative experience with strong organizational skills
Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry tasks
Technical proficiency with computer literacy including typing speed and accuracy; experience with QuickBooks is highly desirable
Excellent phone etiquette skills with experience managing multi-line phone systems and providing customer support
Bilingual abilities are a plus to facilitate effective communication with diverse clients and team members
Strong attention to detail for proofreading documents and maintaining accurate records
Ability to prioritize tasks effectively while demonstrating time management skills in a fast-paced environment
Personal assistant or front desk experience is advantageous for supporting daily office functions
