About Us

Fox Natural Medicine is a growing naturopathic clinic in Brainerd, MN, led by Dr. Sophia Fox, ND. We help patients pursue real, lasting health through naturopathic medicine—and we care just as much about how people feel the moment they walk through our door. Our small, close-knit team moves quickly, supports one another, united by a shared commitment to giving every patient a warm, personal experience.

About the Role

Fox Natural Medicine is seeking a warm, detail-oriented, and reliable Front Desk Coordinator to be the welcoming face and first point of contact for our patients. In this vital role, you'll manage front-desk operations, guide patients through seamless check-in and check-out, handle clinic communication, and keep daily operations running smoothly. There's also an opportunity to cross-train on a few patient-facing clinical tasks to support the team on an as-needed basis. No medical background is required—we'll train you—but comfort learning hands-on responsibilities in a clinic is a plus.

Duties & Responsibilities

Greet patients warmly and create a professional, caring first impression
Answer calls, texts, voicemails, and emails promptly and professionally, directing inquiries and managing provider schedules
Manage patient check-in and check-out workflows, including gathering supplement refill requests, sending home lab kits, and coordinating lab draw schedules.
Accurately enter supplements, labs, and visit fees into billing and collect payments using our EHR software (Jane App—we will train you!)
Keep the front desk, scheduling, and office records organized and up to date
Support the team with weekly clinic upkeep, laundry, and supplement inventory check-in
Maintain strict patient confidentiality (HIPAA) and complete required annual training
Special coverage: Cross-train to perform standardized check-in vitals (blood pressure, pulse, weight, and functional intake tests) and offer coverage for specific supportive therapies (such as constitutional hydrotherapy) during clinical team leaves.

What We're Looking For

High school diploma or equivalent required; Associate's or Bachelor's degree preferred
Previous front desk, administrative, or receptionist experience—ideally in a medical, chiropractic, or wellness office—preferred
Warm, professional, and empathetic patient-facing communication skills
Outstanding organizational skills, attention to detail, and ability to multitask calmly in a busy clinic environment.
Sharp attention to detail with billing, patient records, and HIPAA compliance
Comfortable learning and using EHR and scheduling software (experience with Jane App is a plus)
Interest or background in functional, integrative, or natural medicine
Employment is contingent upon successful completion of a standard background check
