Position Summary
The legal administrative assistant works at the direction of attorneys, paralegals, and the office administrator/supervisor. Manages administrative tasks, priorities, and projects. Is the critical point of contact for managing the ongoing relationships of attorneys, clients, and the Firm. Works closely and collaborates with administrative departments and staff.
Duties/Responsibilities
- Manages and organizes the attorney’s practice, including maintaining the attorney’s calendar and scheduling meetings, either in person or via audio/video conference. Assists conference setup and cleanup as needed.
- Performs administrative duties, such as answering phones, typing, proofreading, filing (electronic and paper), creating, editing and formatting basic documents including Word, Excel, PowerPoint, PDF, photocopying, faxing, and scanning.
- Reviews and revises prebills, and coordinates with attorneys to ensure timely and accurate billing.
- Acts as liaison between clients and attorneys for various administrative-related tasks.
- Manages and organizes legal files using iManage and other document management systems.
- Schedules travel including reserving hotels and flights and arranging for car rentals and any other necessary requirements.
- In coordination with the CLE Coordinator, tracks CLE credits for attorneys timely and efficiently.
- Organizes and maintains attorney’s office, assisting with office moves, and facilities requests.
- Performs matter-specific duties as required for attorneys assigned, e.g., compiling closing binders, transactional tasks, etc.
- Communicates with IG – Retention & Disposition and Billing to open and reactivate matters as needed. Maintains client and general files and closes files in a timely manner.
- Enters time daily in compliance with firm policies.
- Communicates with Billing and Accounts Receivable regarding client billing inquiries. Generates inquiries and reports to assist the attorney with quoting fees for upcoming work.
- Communicates with Accounting for appropriate submission of expense reimbursements and check requests, including wire transfers, trust money, or client funds. Submits vendor invoices for payment
- Maintains up-to-date contact information in attorney’s Outlook contacts and maintains firm-level information in InterAction. Updates and consistently maintains attorney mailing lists (including holiday cards). Links contacts in InterAction mailing lists for legal updates and invitations to events and reaches out to contacts.
- Willingly accepts coverage assignments.Provides administrative support to timekeepers assigned and timekeepers for whom coverage is assigned.Provides support equitably to attorneys assigned and attorneys for whom coverage is assigned.
- Utilizes the most efficient business processes, electronic workflows, technology, available resources (Managing Clerk, Business Center, Office Services, IT, and practice-specific software/technology) to fulfill the position requirements.
- Assists with reception services, supports peers, and takes on special projects as assigned by the office administrator or administrative supervisor.
- May perform other duties as assigned.
Experience
Candidates should have a minimum of 3 years of experience in a professional services environment and be proficient in MS Word, Excel, iManage, Aderant as well as contact management software.
Education
A bachelor’s degree or equivalent work experience is required.
