Overview

Are you a dynamic, motivated professional with a passion for driving sales and building strong customer relationships? As a Sales Coordinator, you will be at the forefront of our business development efforts, orchestrating seamless communication between clients and our sales teams. You'll work closely with guests, clients, and our team to gather important event details, coordinate logistics, and ensure every experience exceeds expectations.

Your positive energy, strong communication skills, and eye for detail will make you a key player in delivering seamless events and outstanding guest service. From answering questions and collecting event information to preparing event details and supporting client relationships, you'll help create experiences people remember. This role offers an exciting opportunity to thrive in a fast-paced environment where your skills will help support sales efforts through lead follow-up and account maintenance, operational coordination, communication, and execution.

Duties

Serve as the primary point of contact for guests and clients throughout the event planning process.
Respond to inquiries and provide timely, professional communication via phone, email, and in person.
Collect, organize, and maintain accurate event details, including room setup requirements, catering needs, guest room blocks, audiovisual requests, and special accommodations.
Prepare event documentation, banquet event orders (BEOs), contracts, and internal communication documents.
Coordinate event logistics with operations, food & beverage, housekeeping, and other hotel departments to ensure flawless execution.
Conduct site tours and assist prospective clients with venue and event information.
Build strong relationships with clients by providing exceptional service and proactive communication.
Manage event timelines and ensure all details are finalized and communicated before execution.
Follow up with clients before and after events to ensure satisfaction and identify future opportunities.
Maintain accurate records in sales and event management systems.
Assist the sales team with lead tracking, proposal preparation, account maintenance, and client follow-up.
Support hotel revenue goals by identifying upselling opportunities and assisting with the conversion of inbound event and group inquiries.
Collaborate with team members to create memorable guest experiences and exceed client expectations.
Monitor event progress and assist with problem-solving to ensure a seamless guest experience.
Participate in community events, networking opportunities, and hotel promotional activities as needed.
Perform additional administrative and coordination duties to support the Sales and Events Department.

Experience

1–3 years of experience in hospitality, customer service, event coordination, catering, restaurant management, hotel operations, or a related field.
Previous experience in a hotel, restaurant, event venue, conference center, or guest-facing environment preferred.
Experience managing multiple projects, schedules, or client requests simultaneously.
Strong written and verbal communication skills with a passion for building relationships.
Experience working with Microsoft Office, CRM systems, or event management software is a plus.
Ability to thrive independently while collaborating effectively with cross-functional teams to achieve shared goals.
