Full Job Description

Job Description:

Always On Energy is one of the fastest-growing heat pump and weatherization contractors in the New York metro area. We install ductless heat pump systems and building envelope upgrades across the five boroughs, Long Island, and Westchester.

Most of our work is funded through utility incentive programs — Con Edison Clean Heat, PSEG Long Island, NYSERDA EmPower+, and Orange & Rockland. We discount the rebate off the customer's invoice at the time of sale and recover it from the utility afterward. That means our rebate paperwork isn't administrative housekeeping. It's directly tied to whether the company gets paid.

This role owns that process.

What You'll Do

Rebate processing (about 70% of the role):

Build complete rebate submission packages: equipment specs, AHRI certificates, load calculations, signed contracts, utility bills, income documents, and field photos
Submit applications through Con Edison, NYSERDA, PSEG Long Island, and Orange & Rockland portals
Track every application from submission to payment in our Airtable tracker
Chase down missing documents from sales reps, installers, and customers
Handle multi-family properties, where one building can require separate documentation for each apartment
Work rejections — read the reason, fix it, resubmit, and flag the pattern so it stops recurring
Monitor program deadlines and rule changes before they become problems

Customer financing (about 30% of the role):

Submit consumer financing applications at the time of sale
Walk customers through what they need to provide
Communicate approvals and declines back to the sales team quickly

Who We're Looking For

We care more about how you think than what you've done before. If you're the person your friends call when their laptop breaks, if you build spreadsheets for fun, and if a messy process bothers you until you fix it — keep reading.

Genuinely strong with computers. You learn new software fast and aren't intimidated by systems you haven't seen
Serious attention to detail. A transposed account number or missing signature page costs us thousands of dollars
An engineering mindset — you want to know why a process works, not just follow steps
Comfortable with spreadsheets, databases, and trackers at a real working level
Clear written communication. Much of this job is asking people precisely for what you need
Organized under volume. A busy week means sixty open files in different stages
Willing to learn the technical side. You don't need to know what a load calculation or an R-value is on day one — we'll teach you. You do need to want to know

Strongly Preferred

If you hold a BPI certification — Building Analyst, Envelope Professional, Heat Pump Professional, Energy Auditor, or Quality Control Inspector — tell us. It's not required, but it's the most valuable thing you can bring to this role.

If you don't have one, that's fine. We'll pay for BPI certification training and testing for the person in this seat.

Also helpful: any exposure to HVAC, insulation, construction, or energy efficiency; a technical degree or coursework; experience with grant paperwork, insurance claims, loan processing, or medical billing; familiarity with HouseCall Pro or similar software.

Compensation & Benefits

$58,000 – $72,000 per year, depending on experience and certification

Schedule: Monday–Friday, 8:00 AM – 5:00 PM. Full time, on site in Brooklyn.
