The Specialists has been a cornerstone of support for New York City's creative community for over 40 years. As the East Coast's premier supplier of fabrication, graphics, and props, we serve industries spanning film and television, live theater, advertising, art, and architecture. Operating from a 60,000 square foot facility in Queens, we combine traditional craftsmanship like mold-making and blacksmithing with innovative technologies such as 3D printing and advanced programming. Role Overview

The Specialists is seeking a Project Manager with a background in experiential marketing, event production or custom fabrication to join our growing team. This is a dual-role position — you will be both a trusted client partner and an internal production driver, managing complex builds from initial brief through final installation.

Our experiential work spans retail activations, branded pop-ups, trade show environments, live event installations, window displays, and large-scale brand moments for some of the most recognized names in entertainment, fashion, beauty, and consumer goods. No two projects are the same, and neither are the problems you'll solve.

Compensation: $75,000–$95,000 annually, commensurate with experience and hard skills.

Key Responsibilities

Own projects end-to-end: intake, scoping, budgeting, scheduling, production, installation, and wrap-out

Serve as the primary point of contact for clients throughout the project lifecycle — translating creative briefs into actionable production plans and keeping stakeholders aligned at every stage.

Collaborate daily with internal fabrication departments (design, wood shop, metal shop, mold shop, 3D lab, graphics, paint/finishing) to develop feasible build strategies and ensure on-time, on-budget delivery.

Build and manage detailed project schedules, tracking milestones, resource allocation, and dependencies across concurrent projects.

Prepare and manage project budgets; process change orders, track actuals vs. estimates, and flag variances proactively.

Source and manage outside vendors, subcontractors, and specialty suppliers; solicit bids and negotiate pricing as needed.

Coordinate logistics for installation and strike, including site surveys, permitting support, crew scheduling, and load-in/load-out planning.

Maintain clear and consistent communication — status reports, meeting notes, and change orders — across clients, vendors, and internal teams.

Identify project risks early and develop mitigation strategies to keep builds on track in a fast-paced, deadline-driven environment.

Contribute to pre-sales and quoting efforts, working with the Director of Fabrication to develop ROM estimates and scopes of work.

Required Qualifications

3–5 years of project management experience in experiential marketing, event production, scenic or prop fabrication, retail fixture production, or a related field.

Demonstrated ability to manage multiple concurrent projects with competing deadlines.

Fluency in reading and interpreting design drawings, renderings, and technical documents.

Strong budgeting and financial tracking skills; experience with cost estimating preferred.

Excellent communication and client management skills — comfortable presenting to clients and navigating difficult conversations.

Proficiency in project management tools (Trello, Asana, Monday.com, or similar) and standard office software (Google Workspace, Microsoft Office).

Familiarity with fabrication processes — an understanding of how things are built is essential; hands-on shop experience is a plus.

Ability to travel occasionally for site surveys, installations, and activations.

A calm, solutions-first attitude when things don't go as planned (and sometimes they won't).
