Full Job Description

ABOUT THE ROLE

West Texas ENT is a trusted ear, nose, and throat specialty practice serving the Abilene and Brownwood communities. We are looking for a friendly, organized, and dependable front office receptionist to serve as the welcoming face of our practice — ensuring smooth front desk operations from patient arrival through checkout while supporting our clinical team behind the scenes.

WHAT YOU’LL DO

Serve as the first point of contact — greet patients and visitors warmly and ensure a positive first impression
Answer and manage a multi-line phone system with professionalism; direct calls and take detailed messages
Schedule, confirm, and manage patient appointments using EHR systems (Epic, Athenahealth, eClinicalWorks, or similar)
Check patients in and out; verify insurance coverage, demographic information, and collect copays at time of service
Perform insurance verification and support billing and medical collection processes
Maintain accurate patient records in compliance with HIPAA regulations; ensure proper documentation and coding standards (CPT, ICD-10)
Support office management tasks including data entry, appointment reminders, filing, and supply management
Collaborate with clinical staff to coordinate patient flow and support care plan logistics
Cross-train on surgery scheduling to provide additional clinical team support as needed

WHAT WE’RE LOOKING FOR

1–2 years of experience in a medical front office or similar healthcare setting
Proficiency with EHR/EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix
Working knowledge of insurance verification, medical billing, and ICD-9/10 coding standards
Strong computer skills including Microsoft Office; 10-key typing proficiency a plus
Ability to handle sensitive patient information with discretion and full HIPAA compliance
Excellent organizational skills and attention to detail in a high-volume, fast-paced environment
Strong communication skills and professional phone etiquette; ability to multitask effectively
High school diploma or equivalent required; medical or administrative certification a plus
Bilingual preferred — Spanish fluency a significant advantage in serving our patient community
